Purpose of roleThe Legal Administrator will perform all legal admin operations requested by a customer without direct supervision. This includes but is not limited to electronic and hard copy filing, archive management, processing and delivery of all incoming and outgoing mail, messenger and courier items, printing, copying and scanning and completing general administrative duties as required.
Filing is an integral part of the operations within this role and the legal administrators may be required to complete filing for up to 4 hours at a time. On occasions this may be extended depending on workload.
Legal administrators are accountable for establishing and maintaining an ongoing, service‑based relationship with the client and customers and will be able to recognise and translate customer needs and expectations into a responsive service.
Key responsibilities Filing- Return or add documents to existing client files
- Work with the practice management system to log and record documents
- Handle and administer closed files as requested
- Filing and file housekeeping
- Understanding and processing of wills and other principal documents
- Maintain all filing and work areas in a tidy and orderly manner
- Collect file and documents from client areas and return files to shelves
- Sort and distribute incoming mail and stamp outgoing mail
- Scanning mail process
- Record all incoming/outgoing special mail, messenger and courier companies
- Arrange all deliveries and collection times with mail, messenger and courier companies
- Maintain equipment to a good working order and troubleshoot problems, place service calls when needed
- Follow all stock and consumable procedures. Replenish copiers with all consumables
- Prioritise jobs and run them to meet customer requirements and deadlines
- Provide photocopying and scanning as per customer instructions
- Collect and accurately input monthly forecast information
- Collect and complete any information required for billing or client charge‑back data
- Utilise appropriate paperwork for all Intelligent Office work
- Ensure that job requests are tracked on system properly before beginning new request
- Understand and comply with corporate standards. Constantly seek ways to improve operations and suggest and implement approved ideas
- Deal with any customer enquiries in a prompt and efficient manner
- Accept requests for Intelligent Office work, notifying customers of estimated completion time as appropriate
- Communicate with customers about job or deadline issues
- Well presented with excellent communication skills
- Advanced knowledge of Microsoft Word, Outlook, Excel, PowerPoint, research tools and other systems implemented by the firm.
