Position: pooled receptionist for Women & Children's Services

Responsibilities

  • Provide high‑quality reception and support service within inpatient and outpatient settings, communicating effectively with patients, relatives, the public and a wide range of multi‑professional staff.
  • Support technical, secretarial, medical and nursing staff of the Department.
  • Carry out receptionist duties: prioritise and arrange appointments, maintain appointment systems, identify test requests and investigations, and co‑ordinate the various clinics within the department.
  • Deal with patients and staff enquiries in person or by telephone, in a courteous and confidential manner.
  • Ensure patient safety and well‑being in the waiting area prior to appointment calls and alert appropriate staff to any cause for concern.
  • Keep a log of telephone requests for investigations, prioritise, and convey messages to the appropriate technical staff.
  • Maintain appointment lists and prepare them in readiness for clinical work.
  • Obtain and prepare notes in readiness for clinics, investigations or at the request of staff within the department.
  • Maintain a record of the transfer of notes to and from the department.
  • Understand the 18‑Week Pathway, input the correct RTT codes and validate the patient pathway where appropriate.
  • Liaise with secretaries and other departments within the Trust to ensure case notes, X‑rays and referrals are available for every patient attending an outpatient clinic; liaise with external stakeholders to obtain referrals if necessary.
Qualifications
  • Current UK professional registration where required.
  • Organised, methodical and able to handle a large number of different tasks simultaneously.
  • Excellent communication skills and ability to maintain confidentiality.
  • Required to obtain a DBS check where working with children or adults.
  • Will be subject to suitability checks including previous NHS service and criminal record checks.
Employment Details

The position is a permanent contract requiring flexible working patterns to ensure coverage 7 days a week and may involve any time in a 24‑hour period. The role supports all reception teams across the Division, including wards and outpatient reception areas.
