Overview

Clean Harbors located in Norwell, MA is seeking a Field Administration Manager to join our team. The Field Administration Manager is primarily responsible for working with the remediation groups administration staff to support the remediation branch of Clean Harbors.

Location

Norwell, MA – not a remote position; daily office presence required. Occasional light travel to a project or team event may be required a few times a year. We may consider candidates located near a Clean Harbors facility on the West Coast on a case‑by‑case basis.

Schedule

Monday‑Friday 0800‑1700. Occasionally hours outside of this schedule may be required.

Pay

$55–75K DOE (based on experience).

Responsibilities
  • Ensure Health and Safety is the number one priority by complying with all safe work practices, policies, and processes and acting in a safe manner at all times;
  • Create purchase orders for assigned branch(s) expenditures and job‑related purchase orders;
  • Work closely with collectors and Regional Finance Manager to assure proper extension of credit to customers;
  • Create sales orders for customer service requests;
  • Review open sales orders and close where appropriate;
  • Manage customer PO details per the Company Policy;
  • Assist the management team in the hiring process (i.e. drug screens, physical scheduling, etc.);
  • Supervise assigned administrators, ensuring daily work is properly and timely completed;
  • Generate and assist with quotes to customers based on input received from Specialists and/or Account Managers;
  • Identify questionable quoted disposal, transportation, labor or material rates and present it to business leaders before a quote is released;
  • Resolve all off‑specs within 48 hours and communicate with appropriate teams;
  • Initiate new customer account set‑up that results from incoming service requests and ensure customer information is accurately input into the system;
  • Schedule transportation with appropriate logistics office for disposal pickups;
  • Ensure payroll reconciliation is tied to company deadlines; ensure documentation of field personnel hours;
  • Purchase all general office supplies; involved in operation and maintenance of hardware;
  • Assist in the development of reports, manuals, agendas, and other project documents;
  • Develop financial, disposal, and other logs required to track the progress of projects;
  • Manage purchase orders, vendor invoices, and other financial aspects of a project;
  • Acquire transportation and disposal knowledge throughout the shipment process;
  • Coordinate schedules and appointments for field and other team members;
  • Other duties as assigned.
Qualifications
  • High school diploma or equivalent required;
  • 2 years of college or specialized training is preferred;
  • 5–7 years of experience in this field of work is preferred in lieu of a degree;
  • Prior transportation, disposal, and data entry experience preferred;
  • Ability to facilitate and lead meetings that are organized and productive;
  • Strong written and oral communication skills. Must be able to effectively work well and communicate with peers and all levels of management including executive staff;
  • Ability to perform multiple tasks simultaneously with constant deadlines;
  • Self‑start and results oriented;
  • Works independently and in teams;
  • Valid DL and acceptable MVR; this is in the event of travel/rental cars but will be checked upon hire;
  • Proficiency in MS Windows based applications.
