Job Description

The Order Processing Specialist is responsible for the end-to-end order lifecycle, ensuring accuracy, efficiency, and excellent customer service. This role processes incoming orders, verifies product availability, coordinates with inventory, shipping, and sales teams, and ensures timely and fulfillment. The ideal candidate is detail-oriented, tech‑savvy, and thrives in a fast‑paced, team‑oriented environment.

Duties and Responsibilities
  • Validate order details including pricing, product codes, shipping terms, and product availability
  • Communicate with Sales and Customer Service departments to resolve order discrepancies
  • Review, enter, submit payment and manage customer orders using Salesforce and Inventory Management Software Systems
  • Prepare shipment documentation through shipping logistics software
  • Assist with Returned Merchandise Authorizations through Credit Memo’s and adjustments to Inventory levels
  • Ensure all documentation and processing activities comply with ISO 13485:2016 requirements
Cross-Functional Support
  • Collaborate with internal Fulfillment staff to ensure timely order fulfillment
  • Provide order status updates, shipping confirmations, and tracking to internal/external stakeholders and customers as required
  • Support continuous improvement initiatives in order processing workflows
Compliance & Documentation
  • Maintain full traceability and documentation for each order in accordance with ISO 13485:2016 and FDA requirements
  • Support internal audits and inspections by ensuring order records are current, complete, and compliant
  • Follow all SOPs and contribute to continuous improvement of order processing workflows
  • Additional tasks as assigned
Required Experience/Skills
  • 2+ years of experience in sales order entry, particularly in a related industry is preferred
  • Excellent attention to detail, problem-solving abilities, organizational skills, and verbal/written communication with the ability to work with tight deadlines is necessary for success
  • Proficiency in Microsoft Office
  • Ability to navigate through Bio Wave’s CRM systems (Salesforce and Quick Books) – prior knowledge of both systems is not necessary
  • Looking for a team member that can prioritize tasks, meet deadlines, work both independently and within a team and has strong results-driven attitude

  • ERP/CRM software proficiency (e.g., SAP, Net Suite, Salesforce)

Pay & Benefits Summary
  • Base: $50,000-$55,000
  • Medical Family – 55%, Employee 45% (year 1&2), 75% (3 years onwards)
