The State of Connecticut, Department of Developmental Services (DDS) – West Region – is recruiting a Secretary 2 to work at the Lower Fairfield Center (LFC), located in Norwalk, CT.
Position Highlights- PCN 18149 Lower Fairfield Center (LFC), Norwalk
- Full‑time, 40 hours per week Monday – Friday 8:00 am‑4:30 pm
- Regular days off Saturday and Sunday; flexibility required as needed
The Secretary 2 will independently perform a full range of secretarial functions to support the DDS West Region, Lower Fairfield Center Intermediate Care Facility. Responsibilities include but are not limited to:
- Proofreading documents and communications for content
- Coordinating and scheduling meetings and appointments
- Maintaining office filing systems
- Maintaining a high level of inventory of supplies and equipment, including ordering new supplies
- Other duties as needed

In this state agency, the class is accountable for independently performing a full range of secretarial support functions requiring an understanding of organizational policies and procedures.
Examples of Duties- Typing: format and type a full range of correspondence, reports, bills, drafts, etc.; proofread for content; edit using knowledge of grammar, punctuation and spelling.
- Filing: design office filing systems; organize and maintain files (including confidential files); maintain, update and review reference materials and manuals.
- Correspondence: compose complex letters and/or memoranda for own or supervisor's signature.
- Report Writing: compile information from a variety of sources and prepare narrative or statistical reports, exercising judgment in the selection of items to be included.
- Interpersonal: greet and direct visitors; answer phones and screen incoming calls; provide advice to callers regarding policy and procedures; coordinate with others both within and outside the organization on non‑routine matters.
- Processing: screen letters, memos, reports and other materials to determine action required; may make recommendations to the supervisor.
- Secretary: arrange and coordinate meetings (including space and equipment); research, assemble and coordinate meeting materials; write minutes of meetings; take notes; prepare expense accounts; make travel arrangements.
- Office Management: maintain an inventory of supplies and equipment; order supplies when necessary; complete, process and maintain paperwork for purchasing; maintain time and attendance records; assist in preparing and monitoring the office budget; design and initiate new forms and procedures to facilitate workflow.
Considerable knowledge of office systems and procedures, proper grammar, punctuation and spelling; knowledge of business communications; knowledge of the department's/unit's policies and procedures; business math; interpersonal skills; oral and written communication skills; ability to schedule and prioritize office workflow; operation of office equipment including computers, tablets, and other electronic equipment; operation of office suite software; ability to take notes (shorthand, speed writing or other method acceptable to the supervisor).
Minimum Qualifications – General ExperienceThree (3) years of experience above the routine clerk level in office support or secretarial work.
Minimum Qualifications – Special ExperienceOne (1) year of the general experience must have been as a Secretary 1 or its equivalent.
