Position Summary & Responsibilities:
Position Summary:
This is a temporary Administrative Assistant position located at the Norton Area Office. This position will process invoices and prepare payment vouchers in SMART, review and compile employee reimbursement reports, provide administrative and clerical support to District staff, and offer fiscal and office coverage as needed.
Job Responsibilities may include but are not limited to the following:
* Reviews and processes district utility and shop invoices and prepares vouchers to process payments.
* Compiles data and prepares employee reimbursement reports (Travel/PPE/Tool/CDL) for compliance with state and KDOT regulations, verifying rates, coding, and reimbursement accuracy.
* Provides administrative and clerical support to District staff, including responding to inquiries, distributing mail (including confidential items), and offering fiscal and office coverage as needed.
* Enters and verifies weekly equipment time in TIMERs to ensure accuracy and timely approvals, and serves as backup for mileage entry.
* Provides support to area offices including processing vouchers, entering purchase requisitions, ensuring proper fiscal procedures, and traveling as needed to obtain documentation.
* Serves as backup voucher clerk for district credit card processing, payment audits, and record maintenance.

Minimum Qualifications:
* Six months of experience in general office, clerical, or administrative support work.
* Education may be substituted for experience as determined relevant by the agency. Transcripts are required for education to be considered.
* Valid Driver's License at time of appointment.
Post-Offer/Pre-employment Requirements:
* Kansas Tax Clearance Certificate: A valid Kansas Tax Clearance Certificate is a condition of employment for all employees of the State of Kansas. Applicants (including non-residents) who receive a formal job offer for a State job, are required to obtain a valid Tax Clearance within ten (10) days of the job offer. A Tax Clearance can be obtained through the Kansas Department of Revenue who reviews individual accounts for compliance with Kansas Tax Law.
