The Accounts Payable Clerk is responsible for managing the club's outgoing payments, processing invoices, maintaining accurate financial records, and ensuring vendors are paid in a timely and accurate manner. This role plays a key part in supporting the accounting department and maintaining strong vendor relationships.
Essential Duties and Responsibilities- Process vendor invoices, credit memos and other charges to cost centers by analyzing invoices and expense reports, maintain utilities expense spreadsheets
- Complete credit applications and maintain current W-9 and Certificate of Insurance for vendors as required
- Match Capital Expenditure purchase orders to invoices and enters invoices accordingly
- Processes and records payments by check or other electronic means (i.e. – ACH, online, etc.);
Insuring that all discounts available are utilized - Resolves any vendor issues regarding payments, outstanding items, etc. in a timely manner
- Reviews all vendor monthly statements and addresses outstanding invoices accordingly
- Continually update and improve the payment process
- Prepare annual 1099-MISCs and 1096 based on IRS requirements for review and mailing
- Provide accurate and effective document preparation and records management relative to the AP function in accordance with record retention policies and procedures
- Assist in the preparation for the annual year end audit and with documentation requests that arise
- Any additional project as requested by the CFO or Controller

- General knowledge of generally accepted accounting principles standards and practices, including methods of financial reporting

- Ability to maintain confidentiality
- 2+ years of accounting experience (Golf and Country Club preferred)
- High level of accuracy and attention to detail
- Experience with Jonas software a plus
- Intermediate level proficiency in Microsoft Office Excel and Word. And the ability to teach others how to navigate and/or create spreadsheets
- Physical requirements include: extended periods of time sitting and working at a computer, regularly spends long hours in intense concentration reviewing and entering financial information into a computer, regularly uses hands and fingers to handle, control or feel objects, frequently bend to file and maintain files, occasionally lift 5-10 pounds
