General Description:
Performs a variety of moderately complex clerical duties to support special education programs in a school setting. Work is under general supervision and requires coordination with others. Contacts are made within and outside the organization. Requires handling of sensitive information and dealing tactfully with the public. Independent judgment is required.
Job Description:
Essential Job Functions:
- Prepares Child Study agenda, prints and distributes.
- Orders and maintains Special Education forms.
- Prepares and maintains Child Study Log.
- Maintains Special Education calendar, Triennial list, 504 Plan list and 65-day calendar.
- Monitors completion of Child Study Eligibility components to ensure readiness for Eligibility meetings.
- Develops and distributes letters to parents such as notification of Triennial screenings, notification of Eligibility meetings, reminders for missing medical components, etc. Communicates with parents regarding meetings, unsigned SE4/4a permission forms, medical exams, etc.
- Coordinates meeting times and relays information between Child Study team members, teachers and related service providers such as vision specialists and OT/PT personnel.
- Inputs SESIS data and maintains SESIS files for school.
- Initiates set-up of Special Education files for all students found eligible. Assists case managers with maintaining files.
- Maintains Special Education correspondence and general information files.
- May provide classroom coverage for teachers attending Child Study meetings.
- Coordinates with school nurse to ensure vision and hearing screenings are completed for eligibility, as well as other health issues pertaining to Special Education students, as required.
- Reproduces student records as requested by outside agencies and ensures release of information is acquired. Processes Social Services Disability Administration requests for information on students. Copies applicable records, ensures teachers complete required surveys - compiles and mails. Responds to Child Protective Services, physician's offices and external school requests.
- Coordinates Special Education transportation for new students.
- Maintains Free and Reduced Lunch records to include active and inactive files as well as cafeteria Free and Reduced lunch roster. Responds to Food Services requests for data as required.
- Performs other duties as assigned.

Operates general office equipment such as computers, copy machine, fax, etc.

Daily contract with school staff, parents, administrative offices and outside agencies to obtain/provide information.

Qualifications:
Working knowledge of office practices and procedures; the school or department's programs; proper grammar, spelling, and punctuation. Working skill in typing, operating personal computers, word processing equipment or other automated office systems. Demonstrated ability to perform a variety of secretarial duties for one or more professionals; communicate effectively both orally and in writing; exercise judgment and work with all levels of the school or department.
