Position Summary
Responsible for coordinating all lube and bulk oil deliveries, managing product inventory, and optimizing supply levels to support sales, minimize shortages, and protect margins. This role serves as the control center between sales, operations, suppliers, and accounting.
Key Responsibilities
Dispatch & Logistics
- Schedule and dispatch all lube and oil deliveries to customers, job sites, and internal locations
- Optimize routes for efficiency, cost control, and on‑time delivery
- Communicate daily with drivers, sales, and customers regarding delivery schedules
- Handle emergency deliveries and last‑minute changes with minimal disruption
Inventory Management
- Maintain accurate real‑time inventory levels for all lubes and oils
- Forecast product demand and ensure proper stock levels at each location
- Plan replenishment with suppliers to prevent shortages or overstock
- Monitor slow‑moving and obsolete inventory and recommend corrective action
- Reconcile physical inventory with accounting records and investigate variances
Purchasing & Cost Control
- Assist in timing and sizing of lube purchases to optimize margins
- Track product cost changes and notify management of significant movements
- Coordinate with vendors on lead times, pricing, and supply availability
Systems & Reporting
- Maintain dispatch and inventory systems (Steady Oil, spreadsheets, etc.)
- Generate daily and weekly reports on inventory levels, turns, shortages, and delivery performance
- Provide data to accounting for month‑end close and inventory valuation
Safety & Compliance
- Ensure DOT, environmental, and safety procedures are followed in all lube handling and transport
- Maintain proper documentation for product movement and storage
Cross‑Department Coordination
- Work closely with sales to align inventory with upcoming projects and customer demand
- Partner with accounting on invoicing, costing, and reconciliation
- Support operations leadership with planning and performance metrics
Required Qualifications
Experience
- 3+ years in dispatch, inventory management, logistics, or petroleum‑related operations
- Experience with lubricants, petroleum products, or bulk fluids strongly preferred
- Strong organizational and multitasking ability
- High attention to detail and accuracy
- Analytical mindset with understanding of cost, margin, and inventory flow
- Strong communication skills across operations, sales, drivers, and vendors
- Proficiency in Excel and inventory/dispatch software
- Ability to operate in a fast‑paced, high‑volume environment
Knowledge
- Understanding of inventory accounting principles
- Basic knowledge of petroleum logistics and supply chains
- Familiarity with DOT and safety compliance standards (preferred)
