Overview
Records Manager for Workforce Development & Community Education (WDCE). This is a full-time, twelve-month position reporting to the Vice-President, Workforce Development & Community Education (WD&CE). This position is responsible for setting up WD&CE courses and contracts, monitoring the process to ensure that all data is accurate, and accounting for its accuracy to the college administration and the system compliance examiners.
The Records Manager will perform a multitude of tasks, including data entry, maintenance, problem-solving, and system errors, assistance in faculty grading and attendance, and preparing for the start and the end of a semester through various reports.
Responsibilities- Set up course sections and contracts in Datatel based on documentation submitted by the appropriate director
- Ensure the accuracy of course information, including the number of hours, the type of course (contact or membership hour), and the course titles
- Cross-check completed courses for accuracy, including the number of hours completed, the number of hours to be reported for FTE purposes, required signatures, and that attendance matches reported hours for contact hour courses
- Account for fee waiver documentation for specified courses, in coordination with the appropriate administrative assistant and director
- Coordinate with the curriculum records manager to ensure overlap hours are not improperly reported
- Provide requested reports to internal and external entities, including weekend schedules, class (ICR) reports, payroll estimates, OSFM reports, NC Motorcycle Safety and Health Council, FTE reports (including estimates, as requested for planning purposes), and others
- Understand the requirements of the Family Educational Rights and Privacy Act (FERPA) and ensure that reporting is necessary and meets the requirements
- Serve as the administrative assistant for selected community service and self-supporting courses, including assistance with registration and receiving fee payments
- Assign room space for Beacon Hall and other WD&CE spaces, and coordinate with the senior assistant of curriculum programs for other space requirements
- Support students and prospective students within the division in the enrollment process and provide a customer-focused approach to problem-solving
- Support special events hosted by the division

- Performs additional duties as assigned by the vice president
Required: Associate’s degree in business or a related area
Preferred: Bachelor’s degree in business or a related area;
Experience with Colleague;
Knowledge of the NC Community College System
This position operates in a professional office environment. This role routinely uses standard office equipment. This position regularly requires long hours and minimal weekend work. Travel as appropriate to achieve community college objectives, attend meetings, and implement strategic initiatives. Essential functions of this position require lifting, manual dexterity, ability to communicate.
Work Environment and Physical CapacityMedium work: Exerting up to 25 pounds of force occasionally and/or up-to 20 pounds of force frequently or constantly to lift, carry, push, pull, or otherwise move objects, including the human body; involves sitting only occasionally, walking and standing are required regularly, incumbents may be required to kneel, crouch/squat, crawl, climb, stoop, turn/twist, balance, reach, or handle.
Mental Application: Utilizes memory for details, verbal instructions, emotional stability, critical thinking, adaptability, and creative problem-solving skills are important.
Salary and Posting DetailsSalary Range: $40,000 to $48,000 based on education and experience in accordance with the college salary plan.
