Administrative Support Specialist

Winston‑Salem State University (WSSU) is seeking a highly skilled and professional Administrative Support Specialist to support the Chief of Staff and the Office of the Chancellor. This position plays a critical role in the day‑to‑day operations of the Office of the Chancellor and requires the highest standards of professionalism, discretion, and confidentiality.

Position Summary

The Administrative Support Specialist provides comprehensive support to the Chief of Staff and the Office of the Chancellor, managing confidential matters related to the Office of the Chancellor, the Board of Trustees, and other university officials. Responsibilities include handling multiple complex duties under time constraints, maintaining records, and supporting senior leadership.

Responsibilities Coordination of Work
  • Manage calendars, schedule meetings, coordinate events, and arrange logistics for the Chief of Staff.
  • Act as liaison to senior staff, university divisions, and the UNC System Office on scheduling matters.
  • Support the coordination of senior staff meetings, prepare and distribute agendas and materials, and oversee logistics.
  • Assist with confidential duties related to the Board of Trustees and Chancellor's Executive Staff, including planning and preparation for board meetings, document preparation, and minutes.
  • Coordinate workflow and priorities within the office to ensure timely completion of assignments.
  • Utilize office technology and systems (word processing, spreadsheets, email, document management, Banner) to support operations.
  • Drive to pick up or drop off packages or other correspondence if necessary.
Communication and Correspondence
  • Prepare, edit, and format correspondence, summaries, reports, presentations, meeting materials, and other documents.
  • Exercise judgment in determining appropriate format, tone, and detail based on audience and sensitivity.
  • Distribute mail, manage office supplies, and perform general office support functions.
Customer Service
  • Serve as a primary point of contact, answer the main office line, greet visitors, screen and direct inquiries, and respond to routine and non‑routine requests.
  • Identify routine problems, take appropriate action using established policies, procedures, and guidelines.
  • Use judgment to determine when issues can be resolved independently or should be referred to the Chief of Staff or other leadership.
  • Gather relevant information, consult available resources, and seek guidance as needed for standard and recurring situations.
  • Provide factual information and explain decisions based on established policies, procedures, and program operations.
  • Maintain flexibility when priorities shift and support resolution of issues through collaboration.
Travel Arrangements & Logistics
  • Assist with travel logistics in accordance with university and state policies.
  • Process timely and accurate expense reimbursement requests.
Records Administration
  • Maintain organized electronic and paper filing systems and confidential records.
  • Collect, review, and summarize information for reports and decision‑making.
  • Exercise confidentiality, discretion, and professionalism when handling sensitive information.
Budget Management
  • Manage the department budget and oversee Office of the Chancellor funds.
