PositionOffice Assistant
Job SummaryThe Office Assistant will be responsible for greeting customers and visitors to our facility. The Office Assistant will present a professional, and positive attitude while greeting customers and visitors, signing them in, and contacting employees regarding visitors, answering phones, and taking messages. The Office Assistant will assist customers with their order pick-up.
Responsibilities- Support, report to, and be directed by the Administrative Director in his/her duties.
- Presents a professional, business casual image to customers, visitors, and guests.
- Greets customers, visitors, and guests with a positive, helpful attitude while determining the purpose of each person s visit and directing or escorting them to the appropriate location.
- Announces customers and visitors as necessary.
- Help maintain workplace security by issuing, checking, and collecting badges as necessary and maintaining the visitor log.
- Assists customers with order pick-up.
- Operates office machines including copiers, scanners, phones, voicemail systems, personal computers and other standard office equipment.
- Answers, screens, and routes phone calls to staff, takes messages, and schedules appointments if necessary.
- Prepare conference rooms for meetings.
- Assists with a variety of administrative, clerical, and recordkeeping tasks including, but not limited to, filing, sorting, copying, faxing, typing, and completion of simple forms.
- Prepares letters, memos, forms, and reports according to written or verbal instructions.
- Maintains filing system either manually or electronically.
- Assists in managing calendars, scheduling appointments, arranging company travel, and coordinating company events.
- Clean, organize, and maintain reception space.
- Collaborates and communicates with coworkers, customer service representative, service providers, and others involved in customer/visitor needs.
- Supports bookkeeping with data entry and month-end close activities within company ERP and other systems.
- Perform all other duties reasonably related to the Company's business when asked to do so by the Company's executive team.

Flexible in handling changes in processes, technology, and business needs. Ability to quickly grasp new processes, technologies, and company policies. - May be required to travel for industry or company events.
- May be required to work overtime and/or extended hours depending on business needs.
- Physical requirements may include sitting, standing, walking, lifting up to 50 pounds, bending, and kneeling for up to and including 8 hours.
- Vision to view printed and electronic text and graphics.
- Ability to access information on computers, tablets, and electronics.
- Ability to handle and manipulate items with hands and/or fingers up to and including 8 hours.
- In accordance with the Violent Crime Control and Law Enforcement Act of 1994 (18 U.S.C. § 931), the applicant must not have a violent felony background.
- Familiarity with ERP software and/or e-commerce platforms desirable to facilitate job duties.
