Overview

The Parks, Recreation, and Tourism (PRT) Administrative Assistant provides primary administrative support to the Town PRT Department. Work involves working the front desk at the Surf City Community Center, providing customer service, performing general cleaning and maintenance, and office duties, assisting with clerical tasks, maintaining records, compiling reports, scheduling events, and processing payments through a software program. Sets up and breaks down the facility for rentals and events.

This is a part-time non-exempt position. These duties and responsibilities are not intended to be all-inclusive. The employee may perform other related duties as negotiated to meet the town's ongoing needs.

Responsibilities
  • Works a non-traditional work schedule, primarily working nights and weekends with limited supervision.
  • Greets participants and enforces facility regulations and policies.
  • Provides local area information to visitors.
  • Serves as liaison to expedite information flow and interpret policies, procedures, rules, and regulations to patrons, participants, and the general public.
  • Performs administrative tasks such as utilizing a computer to complete projects, typing, copying, and faxing materials as needed, updating files, informing citizens of program status, and responding to inquiries in person, over the phone, or via email.
  • Collects fees for Community Center membership, rentals, classes, camps, clinics, athletic leagues, and special events, and maintains payment records in the appropriate files and software.
  • Counts and maintains cash box.
  • Answers and directs phone calls.
  • Forwards messages and requests to appropriate staff members.
  • Sets up and breaks down the facility for rentals, meetings, classes, programs, and events.
  • Maintains a clean work environment at all times.
  • Assists all divisions of the PRT department as required.
  • Performs other duties of a similar nature or level.
Qualifications

Education and Experience

  • High School Diploma or General Equivalency Diploma (GED) and the ability to successfully perform the essential duties and responsibilities of the job, such as those listed above.
  • Must successfully complete and meet the guidelines for a clear criminal background, drug screening, and NC SBI fingerprinting.

Licenses and Professional Certifications

  • Valid NC Driver's License

Knowledge, Skills, and Abilities

  • Knowledge of filing techniques; general office operations; customer service techniques; phone answering techniques; basic accounting concepts; basic statistical principles; and standard safety practices.
  • Skilled in analyzing and interpreting policy and procedural guidelines; resolving problems and questions; establishing and maintaining effective working relationships with staff, associates and the general public; organizing work flow and coordinating activities; operating office equipment; typing; using a computer and related software applications; answering multiple phone lines; maintaining files; keeping logs; making copies; preparing reports and composing correspondence; and communication, interpersonal skills as applied to interaction with coworkers, supervisor, the general public, etc.

Working Conditions

Employee is subject to both inside and outside environmental conditions. When indoors, employee will be exposed to the lighting, temperature, and noise of an open floor-plan office environment and that of an office setting. When outdoors, employee may be frequently exposed to insects, dirt, grass, and weather elements including rain, wind, varying temperatures, etc.

Physical Requirements

Employee must be able to set up and break down needed equipment. A portion of work is performed within an office environment, primarily behind a desk, and frequently includes computer operation. The employee must read and write, and interact with others in person, over the phone, and via other devices. The employee may move within the facility to access equipment, office machinery, and other necessary tools.

Travel is often required to outside job sites to perform the duties described above. The employee must be able to work for extended periods, sometimes under adverse conditions. Persons in this position frequently lift, carry, push, and/or pull objects weighing up to 25 pounds. They also occasionally move objects weighing up to 50 pounds, and sometimes, but rarely, up to 100 pounds.

Additionally, work may require standing, walking, running, reaching, bending, twisting, stooping, crouching, kneeling, crawling, lifting, carrying, and/or moving equipment, and pushing and pulling various objects.
