Primary Purpose of Position

The Administrative Support Specialist (Records Specialist) plays a vital role in the daily operations of the Office of the Registrar. The position supports students, faculty, and staff by executing cross‑functional aspects of registration and records management, answering inquiries, directing calls and emails, assisting walk‑ins, and managing a variety of requests (e.g., name/address/major/term changes, add/drop/withdrawal). The Records Specialist is the primary processor of outgoing transcript operations and course section maintenance.

Job Responsibilities
  • Respond professionally, accurately, and clearly to inquiries from students, faculty, and staff regarding academic policies, processes, records, registration, and scheduling (in person, email, and phone).
  • Support academic record requests and registration processes – course add/drop/withdrawal, program/schedule/term adjustments, etc., and maintain the academic schedule.
  • Address transcript requests and associated system inquiries.
  • Oversee accurate and timely maintenance of academic course sections.
  • Provide support to other Registrar Office functions such as room scheduling, conferral processing, graduation, academic catalog, and transfer credit evaluation.
  • Process mail and scan documents into corresponding student files; update standard operating procedures.
  • Contribute to the success of official events, including but not limited to commencement and new student orientation, which may occur in evenings and on weekends.
  • Perform other duties as assigned.
Qualifications and Skills
  • High‑school diploma required; associate’s degree or higher preferred.
  • Minimum one (1) year of office administration experience or equivalent combination of education, training, and experience.

  • Proficiency with office equipment (personal computers, telephones, copiers, filing).
  • Strong English composition, grammar, spelling, punctuation, and basic math.
  • Proficiency in Microsoft Office and related programs; ability to assimilate new technologies quickly.
  • Knowledge of common higher‑education standards, policies, and procedures.
  • Student Information System experience preferred.
