About the Role
We are seeking a highly organized, proactive, and client-focused Administrative Assistant to join our CPA firm. This role is essential to ensuring smooth operations during tax season and throughout the year. The ideal candidate is professional, detail-oriented, personable, and comfortable managing multiple priorities in a fast-paced environment.
Client Communication & Support- Serve as the primary point of contact for clients via phone, email, and in-person communication.
- Intake and organize client tax documents through secure portals, email, and physical drop-offs.
- Guide clients through document submission, deadlines, and general process questions.
- Maintain excellent customer service and uphold confidentiality standards at all times.
- Manage staff calendars, scheduling client appointments, meetings, and internal events.
- Coordinate availability among CPAs and staff to optimize workflow during peak seasons.
- Track important deadlines and ensure reminders are sent in a timely manner.
- Manage phones, voicemail, and reception duties.
- Monitor and respond to general firm inboxes; route inquiries appropriately.
- Organize and maintain digital and physical filing systems following firm protocols.
- Assist with the preparation and assembly of tax returns, engagement letters, and client packets.
- Support internal workflow by tracking job statuses, updating systems, and monitoring client progress.
- Upload, index, and maintain accurate records within the firm’s document management software.
- Ensure all client information is complete, properly categorized, and stored securely.
- Assist with electronic signature requests and confirmation tracking.
- Prepare correspondence, forms, and internal reports as needed.
- Assist with billing inquiries, payment processing, and client follow-up.
- Provide support on special projects and seasonal tasks as assigned.
- Previous experience in an administrative, office support, or customer service role (experience in a CPA or professional services firm preferred).
- Excellent verbal and written communication skills.
- Strong organizational and time-management abilities.
- Comfortable handling sensitive and confidential information.
- Proficient with Microsoft Office, cloud-based tools, and general office technology.
- Experience with practice management or document management systems is a plus.
- Ability to remain calm and professional during high-volume periods (especially tax season).
- Friendly, approachable, and client-service focused.
- Reliable, punctual, and committed to accuracy.
- Adaptable and able to multitask effectively.
- Works with a sense of urgency while maintaining strong attention to detail.
