Job Summary

We’re seeking a highly organized and proactive Executive Assistant to support our executive leadership team. This role is ideal for a resourceful professional who thrives in a fast-paced environment, anticipates needs before they arise, and maintains the highest standards of confidentiality and professionalism. The Executive Assistant will play a key role in optimizing executive productivity, coordinating key initiatives, and ensuring seamless communication across the organization.

Roles And Responsibilities
  • Provide comprehensive support to Visual Edge IT’s executive leadership team.
  • Manage complex calendars, schedule meetings, and coordinate detailed travel plans and itineraries.
  • Serve as a liaison between executives and internal/external stakeholders, including board members, investors, and senior leaders.
  • Support communication initiatives by drafting and distributing internal communications.
  • Process expense reports, credit card reconciliations, and vendor invoices.
  • Plan and coordinate company-wide events, including space rental, hotel and travel arrangements, catering, and transportation logistics.
  • Oversee Corporate Facility, office moves, equipment installations, and other internal projects in collaboration with internal and external stakeholders.
  • Monitor and maintain office supply and equipment inventory, placing orders as needed.
  • Record, distribute, and track meeting action items, ensuring timely follow-up and accountability.
  • Assist with administrative and special projects as assigned, providing high-quality documentation, presentations, and reports.
  • Other duties as assigned.
Required Skills / Experience
  • High School Diploma or GED required;
    Bachelor’s degree preferred.
  • Minimum of 5 years of experience supporting C-suite executives in a professional environment.
  • Experience supporting board-level activities is highly desirable.
  • Strong proficiency with Microsoft Office Suite (Word, Excel, PowerPoint).
  • Excellent written and verbal communication skills.
  • High emotional intelligence and professional judgment, with the ability to handle confidential information discreetly.
  • Proven ability to manage multiple priorities and adapt quickly to shifting demands.
  • Demonstrated problem‑solving skills and meticulous attention to detail.
  • Team‑oriented, proactive, and capable of anticipating executive needs before they arise.
  • Availability outside of standard business hours may occasionally be required.
