SummaryThe Payroll Specialist is responsible for the accurate and timely processing of semi-monthly payroll for all employees, as well as the administration of payroll deductions, retirement contributions, and insurance benefits. This role plays a key part in supporting employees, ensuring compliance with school pension systems, and maintaining strong collaboration with the Human Resources department.
Essential Duties And Responsibilities- Process and reconcile semi-monthly payroll, ensuring accuracy in earnings, deductions, and tax with holdings.
- Maintain employee payroll records and ensure compliance with federal, state, and district regulations.
- Administer payroll deductions, including insurance premiums, union dues, retirement contributions (e.g., 403(b), 457 plans), and other voluntary deductions.
- Coordinate and report on state pension systems, such as TRS and IMRF.
- Support leave of absence tracking (e.g., FMLA, sick, vacation), ensuring proper pay coding and communication.
- Partner with the HR department to onboard new hires, update payroll changes, and terminate pay processing.
- Respond to employee payroll inquiries and resolve discrepancies in a timely and professional manner.
- Assist with year-end processes including W-2 preparation and payroll reporting.
- Maintain confidentiality of payroll and personnel information at all times.
- Participate in audits, compliance reviews, and special projects as assigned.
- High school diploma or equivalent required.
- Some college coursework in Accounting, Business, or Human Resources preferred.
- FPC (Fundamental Payroll Certification) preferred or willingness to obtain.
- Prior experience with payroll processing in an educational or public sector setting is preferred.
- Proficient in Microsoft Excel, Google Office, and payroll systems/software.
- Knowledge of payroll tax regulations, deductions, and retirement plans.
- Experience working with collective bargaining agreements and unionized employee groups.
- Strong attention to detail and organizational skills.
- Ability to maintain confidentiality and use sound judgment.
- Effective verbal and written communication skills.
- Strong interpersonal skills with a service-oriented mindset.
- Ability to work both independently and collaboratively in a fast-paced environment.

Per the Administrative Assistant Salary Schedule, the starting pay range is $19.00 - $21.85 and is based upon experience.
