Proposal Coordinator

Job Brief.

MEB is seeking an experienced Proposal Coordinator to join our dynamic Marketing Team in our Chesapeake, VA headquarters. This exciting opportunity is ideal for a detail-oriented, proactive marketing professional who enjoys, and has experience with, collaborating in a team environment to develop winning AEC proposals from the opportunity stage through debrief.

Core Areas of Responsibility.

* Pursuit Marketing Production - Coordinate, edit, and produce pursuit marketing materials (qualifications packages, proposals, presentations/interviews, etc.) for public and private clients, and assist with writing non-technical content.

* Pursuit Planning & Scheduling - Plan and facilitate kickoff and review meetings; set timelines and expectations for the pursuit team (Marketing, Business Development, Project Managers, and Executives) to maintain internal deadlines and keep the process moving forward.

* Pursuit Strategy & Messaging - Collaborate with pursuit team to develop pursuit strategy and win themes and ensure messaging is conveyed throughout pursuit documents.

* Team & Partner Coordination - Solicit and coordinate information from subconsultants, subcontractors, and other team members for inclusion in pursuit materials.

* Graphic Design & Layout - Creative layout and graphic creation to support and improve narrative content.

* Content Refinement & Clarity - Refine and organize proposal content to translate technical information into clear, client-focused messaging.

* Interview & Presentation Support - Participate in pre-interview planning and presentation creation, rehearsal, and providing coaching and feedback, as necessary.

* CRM & Content Management - Maintain accurate pursuit records and manage project/resume/opportunity record updates in the CRM (Unanet) and content libraries in Creative Cloud.

* Reporting & Metrics - Use CRM to generate reports and metrics to support pursuit success.

* Hard-Bid Support - Support Estimating/Preconstruction Department with firm qualifications needed for hard bid pursuits.

* Marketing Campaign Support - Collaborate with Marketing/Business Development Team to support targeted marketing campaigns aligning with current and future opportunities.

* Events & Internal Initiatives - Assist Marketing Team with large company events and internal initiatives.

Skills You Possess.

* 3-5 years of experience developing AEC proposals.

* Proficiency with Adobe Creative Suite (InDesign, Illustrator and Photoshop) and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook and Teams).

* Ability to create strong document layouts and graphics while upholding brand standards.

* Experience working with pursuit tracking and CRM systems (preferred but not required).

* Strong writing, editing, and storytelling skills for technical and client-focused narratives.

* Highly organized, self-motivated, and able to manage multiple priorities with minimal supervision.

* Excellent communication and interpersonal skills, with a collaborative mindset.

* Analytical mindset with an eye for compliance and strategy.

* Ability to work independently while supporting team-based pursuits.

* Bachelor's degree in Marketing, Communications, English, Psychology, or a related field (preferred but not required.
