Overview
This position assists physicians, APPs, and nursing staff with patient care, including patient triage, referral orders, retrieving imaging and lab results, processing work tasks, messaging in the EHR and patient portal, assisting other clinical staff with daily clinical and administrative tasks, and stocking/preparing exam rooms. It also involves preparing patients for provider visits and assisting providers with procedures. The role includes front and back-office responsibilities such as scheduling appointments, patient check-in and check-out.
Responsibilities
- Review upcoming patient appointments and obtain missing clinical information prior to visits.
- Manage division support staff, including scheduling and coverage.
- Perform phone triage and communicate with patients and pharmacies regarding prescriptions, advice, or instructions.
- Record vital signs such as height, weight, temperature, and blood pressure in the electronic health record.
- Assist providers and nurses during examinations and procedures.
- Maintain cleanliness and sterilization of examination rooms and stock supplies, submitting reorders as needed.
- Check EMR tasks and assist with departmental employee respirator fit testing and coordination with Environmental Services.
- Manage referrals, prior authorizations, and scheduling lists for all providers in the division.
- Check-in and check-out patients, including obtaining and scanning necessary documents.
- Travel to other Department of Medicine practices to provide support when needed.
Other Duties and Responsibilities
- Answer incoming calls, facilitate patient needs, take messages, page doctors, and handle inquiries.
- Schedule patient appointments and create weekly provider schedules.
- Anticipate needs and issues, advising the Practice Manager accordingly.
- Create and maintain filing systems.
- Perform other duties as assigned.
Qualifications
- Successful completion of a Medical Assistant program or equivalent military training and certification (CMA, CCMA, or RMA) required; must obtain certification within 90 days if not already certified.
- Must complete a Basic Life Support (BLS) class and recertify every 2 years.
- Previous medical office experience preferred, with some computer knowledge.
- Customer service-oriented individual required.
- Experience working with Infectious Disease patients and the Ryan White Program preferred.
