The Office Coordinator ensures smooth daily office operations while serving as the primary front desk presence for employees, visitors, and vendors. This role combines administrative support, office management, and receptionist responsibilities.
- This position has no direct reports.
Essential Functions:
Answer and route incoming phone calls; take messages and provide information as appropriate.
Maintain the general office environment, ensuring spaces are clean, organized, and well stocked with supplies.
Manage office equipment, coordinate repairs, and work with vendors as needed.
Mange flatware, freshflowersand office plants, as well as beverage andpaper servicein ourbuilding space
Manages boardroom readiness including coffee maker and chair height alignments
Controls privacy room and 20thfloor conference rooms
Oversee incoming and outgoing mail, packages, and deliveries.
Serve as the primary point of contact for building management, IT, and facilities requests , including new hire and visitor building /parking access.
Coordinate meeting logistics , conference room reservations, and shared calendars.
Support organization of in - office events, trainings , and meetings, including catering and setup.
Assist with travel arrangements for staff when needed.
Maintain electronic and physical filing systems; ensure documents are accurate and organized.
Assist with data entry, report preparation, and general documentation.
Support operational workflows by helping improve processes and standard operating procedures.
Assist with special projects assigned.
Provide backup support to administrative and HR team members.
Represents the organization well through clear communication, respect, and consistent professionalism.
Provides friendly, prompt support and focuses on creating a positive experience for employees and visitors.
Ensures accuracy and completeness in tasks, spotting and correcting errors proactively.
Identifies issues quickly, takes ownership, and acts proactively to improve processes.
Works well with others, shares information, and contributes to a supportive, cooperative environment.
Understands how the organization operates and aligns actions with its structure, priorities, and expectations.
Must possess excellent written and verbal communication skills
Must be self-motivated, organized, production oriented

Required education and experience:
1–3 years of administrative, office support, or receptionist experience.
Strong communication , professionalism, and customer service skills.
