Commonwealth Preservation Group (CPG) is a historic preservation consulting firm whose clients, staff,project design, and work product are at the center of all that we do.
The Office Coordinator position supports the day-to-day operations of the firm to ensure CPG meets, if not exceeds, expectations around our projects.
The Office Coordinator position maintains a public-facing position at, and candidates should be comfortable interacting with clients, vendors, and other community members on a regular basis. This position is designated as a part-time, in-office position.
Candidates should possess an easy-going personality with an innate curiosity for learning, and interest in working independently. Core responsibilities of the role are as follows:
- Managing inventory and office supplies
- Processing accounts receivable invoices and vendor receipts
- Filing and records management, both physical and digital
- Answering and routing phone calls and managing the general office email inbox
- Greeting and directing clients and other office visitors
- Operating standard office equipment including printers, copiers, and postage meters
- Event and meeting coordination including room booking, catering, and AV setup
- Monthly staff lunch organization
- Supporting onboarding of new staff including workspace setup, supplies, and access
- Running regular errands and managing mailing, checking PO box, and shipping needs (Fed Ex, UPS, etc.)
- Logistical coordination on office maintenance projects and limited urban landscaping maintenance as needed
This position reports directly to the Director of External Operations and will support the functionality of the entire office. Candidates should possess a strong foundation in office administration, scheduling and logistics, customer service, and/or management experience and demonstrate professionalism and discretion when handling sensitive information. Critical skills required for this role include: organization and comfort in prioritizing competing tasks, attention to detail, flexibility, ability to meet regular deadlines while functioning independently, strong written and verbal communication skills.
Specific technical skills needed for this position are as follows:
- Proficiency in Google Suite, Microsoft Office Suite, and Adobe PDF editing software is required
- Familiarity with Word Press, Asana, Harvest, and basic book keeping or accounting software like Quick Books is a bonus

- Holiday pay commensurate with hourly schedule arrangements on most holidays including Martin Luther King Day, Memorial Day, Juneteenth, Independence Day, Labor Day, the Thursday and Friday of Thanksgiving week, and roughly a week off around the Christmas/New Year holiday period.

$20.00 per hour; 24 hours per week
