Position Overview
The City of Norfolk is seeking an entry‑level Deputy City Clerk Assistant to provide administrative support and assistance to the City Clerk and City Council by means of initiative and independent judgment in a timely manner and under deadline. The role includes composing minutes of City Council meetings, handling various council correspondence, providing legal research of Norfolk City Codes, transferring documents electronically via Internet, Norfolk Intranet, and City List Serve, coordinating in‑house and off‑site meetings, processing mail, answering telephones, preparing briefings, and maintaining and organizing official City records including deeds, contracts, and related documentation.

Essential Functions- Serves as administrative assistant to City Council by maintaining council members calendars, scheduling appointments, coordinating meetings, composing correspondence, processing mail, answering public inquiries, researching data, and creating/maintaining extensive databases.
- Provides administrative support to City Council by compiling and preparing City Council agenda/minutes, preparing for and attending meetings, and coordinating presentations/briefings.
- Provides administrative support to City Clerk by preparing and maintaining all City Council appointed boards/commissions/authorities data, preparing, disseminating, and maintaining records of all ordinances and resolutions adopted by City Council, and recording city deeds, contracts, agreements, and leases. Proficient with Microsoft 365 tools including One Drive, Teams, and SharePoint.
Work requires knowledge of a specific vocational, administrative, or technical nature which may be obtained with six months/one year of advanced study or training past the high school equivalency. Junior college, vocational, business, technical or correspondence schools are likely sources. Appropriate certification may be awarded upon satisfactory completion of advanced study or training.
Three years' experience as an Office or Administrative Assistant.
Preferred Skills- Proficiency in Microsoft Office Suite.

- Excellent customer service skills.
- Time management skills.
- Knowledge of Laserfische, People Soft, etc.
- Ability to navigate and work with various social media platforms.

Work Hours:
Monday through Friday, 8:30 am – 5:00 pm

If you are hired October 5 2010, or after to a position with City of Norfolk Retirement System benefits, you will be required to contribute five percent (5%) of your salary toward your retirement benefit. This will be a pre‑tax payroll deduction. If you are hired January 1 2022, or after to a position with Virginia Retirement System (VRS) benefits, you will be required to contribute five percent (5%) of your salary toward your retirement benefit.

Permanent full‑time and permanent part‑time classified, unclassified permanent, full‑time special projects, and constitutional employees who have completed six months continuous service will be eligible to apply.
