SUMMARY OF POSITION:

The Mail Room Manager oversees the daily operations of the building’s mailroom, ensuring efficient processing, distribution, and tracking of all incoming and outgoing mail and packages. This role maintains workflow accuracy and collaborates with internal departments and external vendors to optimize mail-related processes. The ideal candidate is detail-oriented, organized, and skilled in leading an organized operational environment.

PRIMARY DUTIES AND RESPONSIBILITIES:

  • Oversee and coordinate all mailroom activities, including receiving, sorting, distributing, and sending mail and packages.
  • Manage shipping logistics, including USPS, UPS, Fed Ex, DHL, and courier services.
  • Implement and maintain processes for secure handling of sensitive or confidential documents.
  • Monitor mailroom supplies, equipment, and inventory; coordinate maintenance or repairs as needed.
  • Ensure timely delivery and pickup schedules across departments.
    • Analyze mailroom workflows and identify opportunities for increased speed, accuracy, and cost savings.
    • Implement best practices for tracking, routing, and storing packages.
    • Collaborate with facilities teams to adopt new mailroom technologies or systems.
  • Serve as the primary point of contact for postal carriers and shipping vendors.
  • Work closely with internal departments to meet organizational mail service needs.
  • Ensure compliance with company policies and regulatory guidelines related to mail handling.
  • Maintain records of shipments, deliveries, and mailroom metrics.
  • Prepare reports related to mail volume, costs, and operational performance.

POSITION REQUIREMENTS /

QUALIFICATIONS:

  • High school diploma or equivalent.
  • 1-3 years of mailroom, facilities, logistics, or operations experience.
  • Strong organizational and time management skills.

PHYSICAL

ACTIVITIES:

  • Physical Activities up to and including, typing, walking, bending, stooping, reaching, climbing stairs, or sitting for periods of time.
