JOB TITLE:

REGISTRAR/ADMINISTRATIVE ASSISTANT - Senior High Base Requirements
  • High school graduate
  • One year business or secretarial experience preferred
  • Efficient and accurate typing skills
  • Successful completion of district background check
  • Computer literacy and proficiency with digital platforms such as:
    Google, Excel, Word, Adobe, PDF, etc. is essential
  • Effective communicator (both orally and in writing)
  • Self-motivated to work with minimal supervision when necessary
  • Ability to efficiently operate various office equipment (copiers, scanners, phones, printers, etc.)
  • Excellent interpersonal, communication, and public relation skills
  • Effective time management and organizational skills

REPORTS TO: Senior High School Principal

RECEIVES GUIDANCE FROM: Senior High School Principal / Assistant Principals

JOB GOAL: This position serves as registrar at Norfolk Senior High and provides support for the high school's main office. Support activities include: summer school logistical coordination, student discipline letters, and data input for various district, state and federal forms. These duties must be completed in a timely and accurate manner.

TERMS OF EMPLOYMENT: 8 hours/day; twelve months

EVALUATION: Evaluated annually in accordance with provisions of the district’s Personnel Evaluation Policy

Essential Duties
  • Consistent and punctual "on site" attendance at the worksite is an essential job function
  • Perform duties associated with registering new students and those withdrawing from school
  • Maintain accurate student records, coordinate with guidance counselors and school nurse as needed
  • Enter and update student records (attendance, demographics, etc.) as directed, in a timely and accurate manner
  • Format and distribute student discipline letters as directed by assistant principals
  • Provide transcripts for former students
  • Create, print, and distribute physical and electronic student identification cards.
  • Contact outside agencies twice a year to ensure accuracy of student data in Infinite Campus
  • Verify current residency and guardianship information
  • Schedule appointments with guidance office for new students
  • Coordinate graduation preparation items: diploma, caps and gowns, programs, etc.
  • Perform general secretarial duties including answering the phone, filing, sorting mail and delivery, operating office machines (computer, photocopier, etc.), data entry, etc.
  • Communicate with substitute teachers and demonstrates the ability to successfully navigate the district digital sub management program
  • Coordinate attendance, grades, and other duties associated with summer school
  • Coordinate back-to-school and registration process
  • Coordinate information transfers and records requests for graduates and transfer students
  • Update building inventories as directed.
  • Cover for other office staff as needed
  • Follow established protocols for incoming calls and distribution of stakeholder communication
  • Maintain strict confidentiality of sensitive information in accordance with HIPAA regulations
  • Maintain an orderly and professional work area
  • Maintain a safe, secure, and healthy work environment by following and supporting district protocols and procedures
  • Willingness to work flexible hours and periodically provide additional assistance during designated time periods throughout the school year and summer
  • Other duties as assigned
