Executive Assistant (EA) provides high-level administrative support to senior executives, enhancing productivity by managing complex calendars, travel logistics, communications, and confidential documents. EAs act as gatekeepers, streamlining workflows through meeting coordination, expense reporting, and acting as a liaison between stakeholders to enable strategic decision-making.
Key Responsibilities Calendar & Meeting Management:
Scheduling appointments, managing complex, changing calendars, and coordinating, preparing agendas, and taking minutes for meetings.
Communication & Gatekeeping:
Screening phone calls, routing inquiries, managing inbox correspondence, and acting as the primary point of contact for the executive.
Travel & Logistics:
Organizing comprehensive travel itineraries, accommodation, transportation, and processing related expenses.
Administrative Support:
Drafting documents, reports, memos, presentations, and maintaining accurate filing systems and databases.
Special Projects:
Conducting research, preparing data for, or assisting with, special projects, board meetings, and corporate events. Required
Skills and Qualifications Organization & Time Management:
Exceptional ability to prioritize tasks, meet deadlines, and manage multiple priorities simultaneously.
Communication
Skills:
Strong verbal and written communication for liaising with internal/external stakeholders.
Technical Proficiency:
Advanced knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) or Google Workspace.
Discretion & Judgment:
Ability to handle sensitive, confidential information with high integrity.
Experience:
Typically requires a bachelor's degree or equivalent work experience as an administrative assistant, secretary, or in a similar role supporting C-suite executives. Key Competencies Proactive:
