Operations Manager

College Bound Advising is a full-service college admissions advising organization supporting students and families through the college search, application, and admissions journey. We are entrepreneurial, mission-driven, and growing. This role is ideal for someone who is a self-starter, systems-minded, and process-driven, comfortable in Hub Spot, and excited to work with and support the growth of College Bound Advising and its subsidiaries, College Talk with Eydie, and the Head Toward College Foundation.

This position will serve as the operational backbone of the organization during a major structural transition. This person will:

• Help implement systems across entities
• Manage day-to-day operational execution
• Support strategic research to inform growth decisions
• Support nonprofit operations and development initiatives

This is a high-responsibility, high-impact role for someone who thrives in dynamic, entrepreneurial environments. You will work to support the CEO and collaborate with counseling and program staff, subject to project priorities.

• Map and streamline workflows across all divisions
• Create and document SOPs for core processes
• Manage Hub Spot workflows, pipelines, tagging, segmentation, and automated nurture sequences for leads, event registrants, and inquiry forms
• Manage project timelines and accountability across teams
• Support the management of contact list growth and segmentation strategies
• Monitor engagement with social media and other marketing tactics
• Track analytics and deliver monthly performance reports with insights and recommendations
• Create systems to track KPIs

• Assist HTCF team administratively
• Support volunteer communication infrastructure
• Assist in developing the foundation’s growth strategy
• Assist with grant research and prospect identification

• Demonstrated proficiency in Hub Spot (required)
• Self-motivated and organized, capable of working independently but also a team player and collaborator.
• Formidable computer skills, especially with Google Suite (Docs, Sheets).
• Bachelor's degree preferred; background in education, communications, marketing, or related field a plus.
• The ability to work in a dynamic, fast-paced, entrepreneurial environment.

• The salary range for this position is $35 - $45 per hour, commensurate with relevant experience. We prioritize flexibility in our workplace culture, recognizing the seasonal nature of our business. You will have PTO, sick time, and the office observes select holidays throughout the year, giving you dedicated time to recharge and pursue personal pursuits.
