Job Summary: The HR Assistant provides essential administrative and clerical support to the Human Resources team, ensuring accurate recordkeeping, organized personnel files, and timely processing of employee documentation. This role is primarily responsible for scanning, filing, data entry, and maintaining confidential employee records in both electronic and physical systems. A strong attention to detail, respect for confidentiality, and ability to manage multiple administrative tasks are key to success in this role.
EssentialJob Functions
- Scan, upload, and file employee documents into electronic and physical personnel files.
- Maintain accurate, organized, and confidential employee records.
- Organize, retrieve, and archive HR files as requested by the HR team.
- Perform basic data entry and updates in HR systems and spreadsheets.
- Prepare new hire paperwork and file completed onboarding documents.
- Track, file, and organize compliance forms (I-9s, licenses, certifications).
- Respond to basic administrative HR inquiries or route requests appropriately.
- Prepare and assemble HR packets, forms, and correspondence.
- Schedule meetings, orientations, or appointments as directed.
- Maintain confidentiality of employee information at all times.
- Provide general clerical support such as copying, scanning, mailing, and supply organization.
Education Background and Experience Requirements
High school diploma or equivalent required
Required Experience:
1–2 years of administrative, clerical, or office support experience
Preferred Qualifications:
Associate’s degree or coursework in Human Resources, Business Administration, or a related field
Proficient in all MS Office products.
- Maintain regulatory requirements.
- Report to work on time and as scheduled; complete work within designated timelines.
- Demonstrates the ability to adhere to the mission, ethics and goals of the District.
- Demonstrates the ability to communicate with patients, guests and staff in a courteous, respectful and helpful manner.
Successful candidates typically begin between the beginning and midpoint of the compensation range dependent on qualifications/experience and receive compensation in increments increases annually.
