Overview

The Lincoln County District Attorney's Office is looking for an Administrative Chief to help supervise all staff of the Lincoln County District Attorney’s Office with the exception of attorneys and investigators. This role is also responsible for planning, organizing, directing and reviewing the operation of the Office, including but not limited to budget development and control, maintenance of facilities, workflow processes, and computer operations.

$64,620.00 - $86,844.00 annually*

Responsibilities
  • Operate with considerable autonomy under the direction of the District Attorney to supervise and manage all staff, with the exception of attorneys, investigators, child-support and victims department, in the day-to-day operations of the office.
  • Resolve problems concerning work and priorities referred by office personnel.
  • Conduct interviews, select, and provide training to new clerical employees and volunteers. Train all new employees, including attorneys, regarding policies and procedures of the county and the office.
  • Ensure coverage when people are out of the office and act as a back-up for any non-attorney/investigator position as needed.
  • Oversee Community Justice Alternative Program Coordinator with analyzing and evaluating grants, other funds, and special project budgets for correct calculation of expenditure categories.
  • Oversee Victim's Assistance Division by managing staff and volunteers. Coordinate and manage annual victim's rights fundraiser.
  • Oversee Child Support personnel while ensuring compliance with grant rules and regulations.
  • Approve or deny time off requests for all non-attorney/investigator staff.
  • Process time cards and ensure they are complete and accurate.
  • Conduct performance evaluations for all staff with the exception of attorneys, investigators, child-support and victims department.
Policies, Procedures, and Compliance
  • Develop, implement and oversee policies and procedures to ensure compliance with Oregon law and local trial court rules at the direction of the District Attorney and/or Chief Deputy District Attorney.
  • Develop, implement and oversee discovery policies and procedures to ensure compliance with Oregon law and local trial court rules.
  • Develop, implement and oversee grand jury recordation and retention policies and procedures to ensure compliance with Oregon Law.
  • Develop, implement and oversee case and record retention policies and procedures to ensure compliance with Oregon law.
  • Develop, implement, and oversee child support policies and procedures to ensure compliance with Oregon law.
  • Communicate with law enforcement agencies as needed to improve processes for obtaining police reports and evidence in a timely manner.
Administrative Support
  • Confer with District Attorney to develop plans, resolve questions, and clarify policies.
  • Recommend, implement, and administer policies, procedures, and protocols in accordance with new laws and arrange for training regarding laws and procedures.
  • Create, update, and manage legal document templates for office.
  • Process departmental invoices; process and mail Discovery Statements and maintain Case Management Discovery Invoicing system; troubleshoot discovery invoicing issues.
  • Receive and process incoming Discovery payments; register, coordinate, and track all staff training; prepare staff training/travel reimbursements.
  • Order office supplies; conduct special studies regarding new or revised procedures; act as the contact and coordinator for the County Continuity of Operation Plan (COOP) and maintain Office Mass Casualty Response.
  • Serve as the LEDS Coordinator; update document templates in the case management system to ensure proper statutory language; audit and update language to ensure statutory correctness.
