Position: CBO Supervisor (2987) - Central Billing Office

Tidewater Physicians Multispecialty Group is actively seeking a CBO Supervisor to work out of our Central Billing Office in Newport News. Tidewater Physicians Multispecialty Group (TPMG) is comprised of over 200 physicians and advanced practice clinicians and is the largest physician-owned groups in Tidewater. The schedule is full-time work hours, Monday through Friday.

Position Summary

The CBO Collections Team Lead will assist with overseeing, coordinating and managing daily operations related to the collection of Private Pay patient accounts. This role manages staff for efficiency and effectiveness in management of patient balances for various practice locations and progress towards attaining financial targets for the organization. The CBO Collections Team Lead will assist the CBO Cash Management Manager in identifying trends, process improvements and workflows to enhance operational effectiveness of the Collections Analysts and will monitor benchmarks and reviews performance statistics.

The lead is responsible to work with individual practice locations and Office Managers in conjunction with the assigned staff to support the goals and protocols of revenue cycle workflow or revenue affecting tasks.

Major Duties And Responsibilities
  • Supervises and gives guidance to the team of Collections Analysts, who in return are providing assistance to patients requiring various financial plans in order to collect outstanding private pay balances.
  • Maintains collections activity schedules and other types of tracking mechanisms to monitor collection of patient private pay balances.
  • Attend meetings with CBO management to discuss policy, goals and to review performance.
  • Facilitates the transition of accounts to outside collection agencies.
  • Accepts escalated patient calls to minimize dissatisfaction by means of attentive listening, maintaining a professional tone, and acknowledging patient concerns. Escalates patient concerns to the appropriate supervisory level when necessary.
  • If required, will correspond with patients through professional letter writing in accordance with corporate guidelines.
  • Will assist the CBO Managers in the implementation of current and future strategies to improve cash flow, minimize bad debt.
  • Maintain teamwork, customer service production and quality standards to assure timely, efficient and accurate call resolution.
  • Maintains patient confidentiality and data integrity in accordance with Health Information Portability Accountability Act (HIPAA), and company policies and procedures.
  • Other duties as assigned.
Knowledge,

Skills And Abilities
  • Leadership skills to manage a team.
  • Knowledge of computer systems and applications, including Excel.
  • Knowledge of Next Gen Electronic Health Systems (EHR).
  • Knowledge of Medicare, Medicaid and Insurance reimbursement systems, including billing forms and requirements for various third-party payers.
  • Skill in communicating clearly with direct reports and practice location management.
  • Skill in planning, organizing, delegating and executing tasks.
  • Ability to work scheduled hours as defined in the job offer.
  • Ability to read and understand oral and written instructions and follow written protocols.
  • Ability to communicate with patients clearly and concisely.
  • Ability to research and process large quantities of data, analyze trends and identify areas where behavior is not compliant with expectations.
Education/Training/Requirements
  • Work requires a High School diploma with a minimum of two to three years of experience in the Private Pay department in a Central Business Office environment.
  • Demonstrated success as a Private Pay Analyst.
  • Demonstrated success in working with and mentoring team mates.
  • Demonstrated success in working with location Operations Managers and Regional Operations Managers.
PHYSICAL DEMANDS

  • Ability to climb or balance for limited periods of time.
  • Ability to occasionally reach, bend, stoop and lift up to 30 lbs. *
