The Role

Performs normal office functions such as setting up and maintaining files; interviewing callers and making proper referrals; arranging meetings and conferences; and receiving, referring, or answering mail. Reviews drafts and finished documents for appropriate grammatical usage; answers questions relating to office operations and established policies and procedures. Gathers, compiles and reports on information relevant to supervisors assignment. May take and transcribe dictation.

This position will be in the Aircraft Carrier Engineering Propulsion Machinery Department (E64), which leads the US Navy in the design, repair, and modernization of propulsion machinery and piping systems on US Navy Aircraft Carriers. This position will also support other departments in Engineering, including Electrical (E63) and Welding & Non-Destructive Test (E37) Engineering. Our work directly supports the mission readiness of these US Navy assets, which defend our country’s freedom and provide humanitarian support around the world.

Candidates will climb stairs daily and occasionally move typical office equipment (such as file boxes and computer monitors). This position may also need occasional walking through production zones with appropriate personal protective equipment (hardhat, safety glasses, hearing protection, and safety shoes). This position basic computer skills, including typing and using Microsoft Office products such as Outlook, Word, and Excel. Functions of this job may include the following:
Distributing mail; managing conference rooms; managing computer equipment and phones; managing calendars; scheduling and coordinating events; organizing and maintaining hardcopy and electronic files and records retention; coordinating travel; submitting payroll requests; maintaining company assets (e.g., vehicles, trailers, cameras); coordinating storm preparation activities; working with Facilities Coordinator to maintain office area; ordering office supplies; developing agendas & recording meeting minutes; reviewing and formatting letters, memos, procedures, and reports;

and distributing and retaining official correspondence.

  • Able to learn and use other software, including but not limited to Microsoft SharePoint and PowerPoint.
  • The ideal candidate has good written and verbal communication skills, is organized, enjoys working with people, and is motivated to learn and contribute.
