Job Description

We are seeking a detail-oriented and proactive Paralegal to support litigation attorneys throughout all phases of civil litigation, from intake to trial. The successful candidate will be responsible for managing case deadlines, coordinating depositions, assisting with trial preparation, maintaining organized case files, and ensuring seamless communication with clients, vendors, and court personnel. A comprehensive understanding of California civil litigation procedures, exceptional organizational skills, and the ability to independently manage multiple priorities are essential for success in this role.

Detailed expectations and protocols will be provided to all candidates invited for an interview, ensuring clarity and alignment on firm standards.

Key Responsibilities:

  • Calendaring & Deadline Management:
    Maintain and update litigation deadlines, including hearings, depositions, mediations, expert disclosures, and trial dates. Promptly calendar new deadlines upon receipt and provide written confirmations to attorneys. Conduct regular audits to verify accuracy and prevent conflicts.

  • Case File Management:
    Maintain highly organized digital and physical case files consistent with established firm structure and naming conventions. Ensure all pleadings, correspondence, exhibits, discovery documents, deposition transcripts, and trial materials are properly filed and easily accessible.

  • Deposition Coordination:
    Schedule depositions with counsel, witnesses, vendors, and interpreters. Prepare and serve deposition notices and subpoenas. Confirm logistical arrangements and ensure depositions are scheduled in advance of trial timelines.

  • Client Communication & Support:
    Professionally communicate with clients regarding appointments, case updates, and preparation for depositions, mediations, and trials. Respond to inquiries promptly and maintain a high standard of client service.

  • Trial Preparation:
    Assist attorneys in preparing trial binders, exhibit lists, witness lists, jury instructions, and subpoenas. Coordinate logistical details, liaise with vendors, and ensure timely delivery of trial materials.

  • Vendor & Court Coordination:
    Coordinate with process servers, record retrieval agencies, court reporters, and court clerks to ensure filings and service are completed accurately and documented properly.

  • E-Filing & Service:
    Prepare and submit electronic court filings via e-filing platforms. Maintain proofs of service, update logs, and store conformed copies of filings.

Qualifications:

  • Minimum of 3 years of experience supporting California civil litigation cases (experience in personal injury law is highly preferred).
  • Paralegal Certificate is not required, but is a plus
  • Deep understanding of civil procedure, litigation deadlines, and trial preparation workflows.
  • Proficiency with case management software, calendaring tools, and e-filing platforms.
  • Exceptional organizational skills with keen attention to detail.
  • Ability to work independently, anticipate next steps, and manage multiple cases efficiently.
  • Strong written and verbal communication skills, with professionalism in interactions with clients, colleagues, and court personnel.
  • Proven ability to prepare accurate legal documents, notices, and exhibits.

Preferred Qualifications:

  • Experience with trial support and extensive trial preparation tasks.
  • Familiarity with preparing deposition notices, subpoenas, and exhibit binders.
  • Case Peer or similar case management system knowledge (a plus).
  • Ability to thrive in a fast-paced environment with tight deadlines.
