Overview
We are seeking a dynamic, multi-faceted individual to bridge the gap between our front-office operations and our brand presence. As the Front Office Assistant, you are the first "face" and "voice" of Labryo. You will ensure a seamless, warm experience for patients in the clinic while simultaneously driving our digital and community outreach efforts to grow our Labryo family.

Key Responsibilities
Reception & Patient Coordination (60%)
- The Labryo Welcome:
Greet patients and visitors with the empathy and warmth that defines our clinic culture. - Patient Intake:
Efficiently manage check-ins/check-outs, verify insurance, and collect payments for various treatment cycles (IVF, IUI, Egg Freezing). - Inquiry Management:
Act as the first point of contact for new patient inquiries via phone and email, providing high-level information about our services and unique performance-based packages. - Scheduling:
Coordinate complex medical appointments, ensuring the clinic flow remains optimized for both patients and our medical team. - Confidentiality:
Maintain strict adherence to HIPAA regulations and protect sensitive patient medical records.
Marketing & Community Growth (40%)
- Content Creation:
Assist in developing engaging content for Labryo’s social media platforms (Instagram, Facebook, Linked In) to showcase our success stories and expert insights. - Reputation Management:
Monitor and respond to patient reviews; encourage happy families to share their "graduation" stories. - Local Outreach:
Help plan and execute community events, seminars, and "Meet the Expert" sessions in the Newport Beach area. - Collateral Design:
Maintain and update in-clinic marketing materials, digital brochures, and patient education packets. - Internal Branding:
Work with the clinical team to document "graduation" moments (with patient consent) to celebrate our world-renowned success rates.
- Experience:
1–3 years in a medical front office or high-end hospitality role, plus some experience (or strong interest) in digital marketing/social media management. - Education:
Bachelor’s degree in Marketing, Communications, Healthcare Administration, or a related field preferred. - Multilingual
Skills:
Since Labryo serves a global community, proficiency in Mandarin Chinese or Spanish is a significant plus. - Soft Skills:
Exceptional emotional intelligence and the ability to handle sensitive, emotional conversations with grace. - Tech Savvy:
Proficiency with EMR systems (e.g., nAble IVF) and marketing tools (e.g., Canva, Meta Business Suite).
$20 - $30 per hour
