Job OverviewWe are seeking a professional and detail-oriented Administrative Assistant to support a high-performing Private Wealth Management team within a leading global financial services organization. This onsite contract role is ideal for someone who thrives in a fast-paced, client-focused environment and brings strong organizational and communication skills.
You’ll provide day-to-day administrative and operational support while helping deliver a polished experience for internal teams and clients.
Key Responsibilities- Coordinate domestic and international travel arrangements and process expense reports
- Manage incoming and outgoing mail, including sensitive documents such as checks, tax forms, and certificates
- Provide general office support including calendar management, scheduling, and phone coverage
- Coordinate internal meetings, recruiting activities, and client-facing events
- Schedule interviews, reserve conference rooms, order catering, prepare materials, and greet visitors
- Partner with the Private Wealth Management team to support client service and operational needs
- Assist with document preparation, scanning, and record management
- Minimum of 2 years of administrative or office support experience in a corporate environment
- Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook
- Bachelor’s degree preferred but not required
- Strong written, verbal, and interpersonal communication skills
- Ability to manage multiple priorities in a fast-paced office setting
- Professional demeanor with attention to detail and sound judgment
- Comfortable working onsite in a business professional environment
