We are currently seeking an Employee Experience Associate to join and support our People, Culture & Experience team for an 18-month contract.
At Southlake, we believe that a vibrant workplace culture is built on inclusion, belonging, and collaboration. As the Employee Experience Associate, you will play a pivotal role in fostering this culture, serving as the heartbeat of our People, Culture & Experience (PCEx) team. Reporting to the Director and working closely with our PCEx Managers, you will be instrumental in providing exceptional coordination, project support, and operational excellence across a variety of initiatives that enhance the employee experience.

*** What You'll Be Doing:
***** Customer Service & Administrative Management
*** Be the welcoming face of our People, Culture & Experience team, serving as the first point of contact for staff, leaders, and visitors. Your friendly demeanor will make everyone feel valued and supported.
* Guide our PCEx customers (staff, applicants, visitors) to the appropriate team members or resources, ensuring they feel heard and understood.
* Assist with PCEx online tools and forms, providing clear guidance on processes like employment letters, name changes, and applications.
* Support the Director and Managers of PCEx with administrative and project tasks, helping to smoothly advance key initiatives that reflect our commitment to employee engagement and recognition.
* Attend Labour Management Meetings and Step 2 grievance meetings, recording minutes to ensure transparency and follow-up.
* Be a champion for the employee experience, acting as a trusted point of contact for inquiries related to our programs.
* Handle employee files with care and accuracy, ensuring compliance with organizational and legislative policies regarding record management.
* Provide seamless executive support to the People, Culture & Experience management team, including calendar management, meeting preparation, and invoice processing.
** Events & Project Coordination
*** Coordinate meaningful meetings, events, and workshops that support employee engagement, recognition, onboarding, wellness initiatives, and benefit sessions.
* Create engaging materials—presentations, communications, and resources—that inspire action and reflect our inclusive culture.
* Track project milestones, manage timelines, liaise with vendors, and ensure we deliver on our commitments to our staff.
** Team & Office Operations
*** Participate in PCEx department meetings and contribute your insights to enhance our team dynamics.
* Organize logistics for team meetings, office celebrations, and retreats, fostering a sense of community and belonging.
* Manage Orientation administration and room bookings to ensure a warm welcome for new team members.
* Promote a customer-focused, inclusive, and collaborative culture in all interactions.
* Keep our office running smoothly by managing supplies, coordinating couriers, and handling incoming mail and packages proactively.

* What You Bring:

**** Successful completion of a post-secondary diploma preferably within Human Resources, Business Administration, Office Administration from an accredited educational institution and/ or a Bachelorette degree in a health-related discipline preferred. An equivalent combination of education and experience may be considered.
* Minimum of two (2) to (3) years of experience preferably within a unionized acute care environment.
* Exceptional customer service and interpersonal skills, with a professional, friendly demeanor.
* Strong organizational and time management abilities, with keen attention to detail.
