2. This secretarial position responsibilities include, but are not limited to, acting as secretary reporting to the Principal Engineer in the Division of Construction Operations, Central Construction Unit, supporting the Central Construction Unit. This position also supports certain functions of the Quality Assurance Unit, and Central Surveys Unit.

THE ROLE

We are seeking a dynamic, customer service-oriented, energetic, and driven team player and problem-solver, who is passionate about serving the public and about the work we do at the DOT to deliver our mission.

* Arranging interviews and meetings;

* Preparing correspondence and technical reports (including letters to towns, utilities, federal funding partners, consultants, etc.);

* Reports and submittal reviews (which includes but is not limit to review and comparison to requirements), submittal tracking, and related entry of data into databases (data entry);

* Coordination with office staff;

* Typing;

* Copying and distribution to stakeholders both within the department and outside the department;

* Distributing and filing a variety of documents and reports; assisting with response to FOI requests;

* Ordering field and office supplies and equipment;

* Tracking and scheduling training;

* Assisting with travel authorizations;

* Mail handling; maintaining office inventory;

* Maintaining office files and processing files for record retention;

* Answering telephone calls and supplying information requested or redirecting inquiries.

* Other related duties as required
