The administrative clerk in the school is the first person of contact for students, parents and the public within the school community. The administrative clerk serves as a liaison between the principal, staff, parents and students. This person is knowledgeable of all school programs and procedures in order to relay this information accurately to the staff and public. Under general supervision of a building principal, the administrative clerk performs secretarial work of a complex, confidential and responsible manner.

Job Functions
  • Plans, prioritizes and organizes work according to established or standard office procedures.
  • Attends to students’ needs.
  • Provides information to students, parents, and the public relating to school policies, procedures, programs and schedules.
  • Files and retrieves correspondence, reports, and confidential documents and prepares information for supervisor or authorized staff members.
  • Types letters, reports, or forms from prepared material or rough copy.
  • Composes routine letters or reports for review and signature by supervisor.
  • Maintains and retrieves student information through the district student information system.
  • Maintains financial student fee records.
  • Temporarily relieves and/or supports other office staff as directed.
  • Screens telephone calls and greets visitors, ascertains nature of business, and refers to appropriate room/person.
  • Arranges meetings and schedules appointments.
  • Issues building permits and coordinates use of building facilities by outside organizations as well as school functions.
  • Performs special assignments and routine administrative functions as directed.
  • Meets the public and provides information on school policies and procedures.
  • Coordinates and maintains school calendar within the building and online.
  • Maintains inventory of office supplies, materials and equipment.
  • Regularly receives information of a confidential nature and is responsible for restricting the disclosure of such information.
  • Operates computer, fax, laminator, multifunction copiers and printers with efficiency.
  • Receives oral or written instructions from supervisor and reports work accomplished to principal.

Required

Minimum Qualifications
  • A high school diploma or GED equivalency.
License or Certificate
  • Valid Connecticut driver’s license.
