Are you interested in supporting a non-profit group seeking to provide detailed, timely information to parents involved in the special education system?
The SPAN Parent Advocacy Network is a nonprofit organization whose mission is to empower families and inform and involve professionals and others interested in the healthy development of children throughout New Jersey. SPAN is funded through private contributions and grants from government, foundations, and corporations.
SPAN is seeking a skilled and experienced Part-Time Intake Specialist to join our team. In this role, you will be responsible for answering inbound phone calls from individuals in sometimes emotional situations. The successful candidate will work closely with multiple teams across SPAN to provide guidance and assistance to callers seeking assistance from SPAN’s projects.
The Part-Time Intake Specialist is a part-time, hourly, non-exempt position. The Part-Time Intake Specialist is expected to work 18.75 hours per week, which may include Saturday and Sunday hours. The Part-Time Intake Specialist is also expected to attend quarterly meetings of SPAN staff.
Core Job Responsibilities- Handles all calls in a professional manner, showing compassion and maturity
- Ensures that all calls are handled on a time-sensitive basis
- Displays cultural competency in handling calls, particularly from Spanish-speaking callers
- Understand SPAN programs and projects, and routes calls to incoming staff
- Accurately inputs caller information into computer-based contact management system
- Opens, sorts and distributes all incoming mail and packages
- Greets walk-in visitors
- Provides organizational information to callers using computerized or printed directories
- Updates system voice mail message to reflect changes in staffing/organization, office closings or hours of operation
- Other duties as assigned
- Proven work experience in customer service and individual assistance
- Excellent communication skills, both written and verbal
- Strong written and verbal communication in Spanish a must
- Ability to work independently and manage multiple tasks at once
- Proficient in Google Suites and Microsoft Office
- Attention to detail and organization
Capacity to use technology and software including computer skills, Word, Excel, Smartsheet, web-based contact management system, etc. - Knowledge of SPAN mission, grants, and stakeholders
- Ability to work flexible hours and utilize transportation resources
- Ability to communicate with supervisor and co-workers
