Position OverviewThe Document Control Manager is responsible for leading and managing document control operations across complex, large-scale infrastructure projects, including the Newark Redevelopment Program (EWRR). This role oversees a team of Document Controllers to ensure all document control activities are executed accurately, efficiently, and in compliance with agency policies and program requirements.
The ideal candidate is highly organized, detail-oriented, and experienced in managing high volumes of technical documentation in fast-paced environments. This role plays a critical part in ensuring project teams have timely access to accurate records, supporting project delivery, compliance, and operational excellence.
Responsibilities- Lead and manage a team of Document Controllers to ensure timely, accurate, and high-quality document control support.
- Oversee incoming and outgoing submittals, responses, correspondence, and documentation using Trimble Unity Construct (TUC / eBuilder).
- Ensure documents are properly received, reviewed, categorized, tracked, archived, and accessible per agency policies.
- Monitor team performance, workloads, and deliverables across multiple concurrent projects.
- Develop, implement, and improve document control processes, standards, and workflows.
- Coordinate with internal and external stakeholders to meet document control requirements and project priorities.
- Proactively identify, resolve, and communicate issues, risks, and progress to management and project stakeholders.
- Perform quality assurance, quality control, and audits to maintain document repository standards.
- Ensure compliance with document control, records management, and retention policies.
- Mentor team members and promote continuous improvement, efficiency, and customer service excellence.
- Bachelor’s degree in Engineering, Architecture, Construction Management, or a related field.
- Minimum five (5) years of experience as a Document Control Manager
. - At least three (3) years of prior experience as a Document Controller within engineering and/or construction environments.
- Proven experience managing document control for large-scale infrastructure projects
, preferably in transportation. - Proficiency in Trimble Unity Construct (eBuilder) and Microsoft Office Suite.
- Strong knowledge of records management concepts, procedures, and standards
. - Excellent verbal, written, interpersonal, and organizational communication skills.
- Strong analytical and problem-solving abilities, with experience in issue resolution, reporting, and prioritization.
- Demonstrated leadership skills, including team management, mentoring, and cross-functional collaboration.
- Ability to manage multiple projects simultaneously in a fast-paced environment with a high volume of submissions.
- Experience working on transportation-sector infrastructure projects
. - Prior experience supporting PANYNJ or similar public-sector agencies.
