ADMINISTRATIVE ASSISTANT-SDC CENTER FOR ADULT TRANSITION (CAT)

Functions and Responsibilities
Job Summary
Under the supervision of the Director of Student Development and Career Services or designee, the Part-time Administrative Assistant will perform responsibilities related to assisting in the day-to-day operations of the Center for Adult Transition Program in the Office of Student Development and Counseling (SDC).

This position offers a competitive hourly rate of $18.00 pr hour

Supervisory Role
Oral and written instructions are received from the Director of Student Development and Career Services or designee. The Administrative Assistant may supervise student workers.
Duties & Responsibilities
1. Handle routine office functions including managing appointments and admission of visitors, telephone coverage, and referring inquiries to the appropriate areas.
2. Support outreach initiatives, including tabling events and the dissemination of promotional materials.
3. Assist with Banner data processing, record maintenance, and related activities.
4. Complete moderately complex and routine word-processing and transcription duties.
5. Prepare, process, and file supply requisitions, purchase orders, and related documents.
6. Assist with operational and administrative details inclusive of workshops and special activities implementation.
7. Establish, maintain, and update an effective and accurate filing/retrieval system for the Center for Adult Transition (CAT) Program.
8. Arrange and coordinate required services with other college areas including, but not limited to, Print Shop, Media Production & Technology, Mailroom/Shipping & Receiving, etc.
9. Organize, monitor, and distribute bus tickets allocated to students participating in the CAT program.
10. Contribute to the development of program promotional materials and related documentation, encompassing printed materials, electronic media, and website content.
11. Maintain and control materials and supplies.
12. Maintain strict confidentiality and security of records.
13. Prepare routine, special, and ancillary reports as required.
14. Perform other related duties as required.

Additional Requirements
Minimum Qualifications
Minimum Experience (number of years), Knowledge and/or Abilities
1. Associate degree.
2. An aptitude to work with detailed records.
3. Excellent interpersonal skills.
4. Ability to communicate effectively, orally and in writing.
5. Ability to work in a diverse environment.
Minimum Education Requirements
Associate's Degree
Licenses and Certifications (including e.g., CPR, first aid, driver's license, etc.)
Preferred Qualifications
Experience (number of years), Knowledge and/or Abilities
1. Demonstrated computer literacy.
2. Clerical experience.
3. Demonstrated knowledge of computerized record maintenance and management, preferably the Banner System.
4. Experience working with students in a student service, client services or equivalent setting.
