We are seeking a highly organized and detail‑oriented Logistics Specialist to support domestic and international shipping activities, documentation management, inventory accuracy, and compliance across all logistics operations. This role requires strong coordination skills, hands‑on material handling experience, and the ability to work in a fast‑paced environment with a high level of accuracy and accountability. You will partner closely with manufacturing, finance, carriers, and third‑party suppliers to ensure seamless delivery execution and regulatory compliance.
KeyResponsibilities
- Manage all shipping documentation—including bills of lading, commercial invoices, packing lists, and carrier paperwork—ensuring accuracy and compliance with regulatory requirements.
- Execute import/export activities for inbound and outbound shipments, adhering to customs regulations and Foreign Trade Zone (FTZ) procedures where applicable.
- Coordinate dropship deliveries with third‑party suppliers and carriers, supporting on‑time delivery and maintaining full documentation traceability.
- Monitor customer delivery requirements, proactively track shipments, update logistics and installation tracking tools, and resolve issues with carriers and internal teams.
- Partner with manufacturing to confirm finished goods readiness and ensure all documentation matches physical product and serial/part information.
- Document the physical condition of equipment prior to shipment, including photos and inspection checklists.
- Perform all shipping and inventory transactions in Oracle and maintain clean, auditable records.
- Organize and maintain both digital and hard-copy shipment files in compliance with corporate and regulatory retention requirements.
- Support month‑end reporting, including logistics and FTZ documentation, and process logistics invoices with correct coding and backup.
- Assist in building delivery plans for large customer installations, ensuring logistics steps and compliance tasks are properly integrated.
- Perform hands‑on warehouse duties including cycle counting, palletizing, crating, and safe operation of forklifts, pallet jacks, and straddle carriers.
- Work overtime as needed based on business demands.
- High school diploma required;
Associate or Bachelor’s degree in Supply Chain, Logistics, Business, or related field preferred. - 3–5 years of experience in logistics, transportation, or trade operations with direct responsibility for shipping documentation and compliance.
- Hands-on experience creating bills of lading and international shipping documents (not just reviewing).
- Experience shipping complex technical or capital equipment.
- Proficiency with ERP/inventory systems—Oracle strongly preferred.
- Strong understanding of SOPs, audit requirements, and maintaining compliant, well-documented logistics processes.
- Experience working with carriers and freight forwarders, with the ability to negotiate, escalate, and resolve documentation issues.
- Strong Microsoft Office skills (Excel, Word, Outlook, PowerPoint).
- Ability to manage multiple deadlines, work independently, and maintain high accuracy under pressure.
- Strong communication, teamwork, and continuous improvement mindset.
- Experience working in a Foreign Trade Zone (FTZ), including an understanding of FTZ inventory controls and compliance requirements.
- Experience working directly with freight forwarders or within a company with established import/export controls.
