University Medical Partners (UMP) formed in January 2017 by physicians currently practicing within several separate medical groups in the Bay Area to create a unified multi‑specialty physician practice and clinical network that will serve as an exemplar for the delivery of high‑quality health services in the Bay Area.

UMP Practitioners deliver care at clinics operated by Stanford Medicine Partners (SMP), a medical foundation affiliated with Stanford University throughout the Bay Area.

POSITION TITLE:
Project Manager I

REPORTS TO: CFO/COO

PURPOSE STATEMENT: As a member of the UMP Management Services Team, the Project Manager I partners and collaborates with administrative leaders and stakeholders to lead strategic and operational initiatives. This role is primarily focused on non‑clinical administrative projects, supporting organizational efficiency and the successful execution of UMP‑wide incentive programs. The Project Manager I drives initiatives that align with UMP’s organizational goals while fostering a culture of innovation and operational excellence.

This is a hybrid position, with an expectation to work onsite in Newark, CA approximately one day per week, subject to change based on business needs.

ESSENTIAL DUTIES AND RESPONSIBILITIES

The Project Manager I will divide their focus between general administrative projects and the oversight of the employee incentive program.

Employee Incentive Program Management (50% Focus)
  • Program Oversight: In partnership with People and Finance department, manage the administrative lifecycle of the annual employee incentive program, ensuring all processes are documented, timelines, data coordination, and approvals are complemented accurately and on schedule.
  • Goal Monitoring: Actively monitor and track progress toward both group‑level and individual performance goals in partnership with functional leaders.
  • Reporting: Develop and provide regular status updates to leadership regarding incentive program progress and outcomes.
  • Communication: Serve as the primary contact for inquiries regarding the administrative portion of the incentive program, coordinating closely with People and Finance as needed.
Administrative & Non-Clinical Projects
  • Technical Tool Rollouts: Lead the deployment and UMP‑wide adoption of administrative tools and software (e.g., Notion, project management platforms).
  • Project Planning: Develop comprehensive project plans, including timelines and milestones for non‑clinical initiatives.
  • Stakeholder Alignment: Collaborate with stakeholders to define project goals and deliverables for administrative functions.
  • Change Management: Develop implementation plans to help staff transition to new administrative processes or tools.
AI & Workflow Innovation
  • Process Optimization: Identify opportunities to incorporate AI‑enabled tools into daily workflows to increase administrative efficiency.
  • Continuous Improvement: Evaluate project outcomes and recommend improvements to administrative functions based on lessons learned.
  • Maintain an up to date process document and guidebook on assigned functions and services.
  • Performs other related duties as assigned.
