Target compensation is ideally $100,000-$120,000 (DOE)
Our client is an established and growing apparel company specializing in the development, sourcing, and marketing of apparel and accessory product lines distributed through diverse retail channels.
The Import Coordinator plays a key role in managing the inbound logistics process to U.S. and outbound for our Foreign retailers. This position is responsible for overseeing the timely delivery of imported goods while ensuring full compliance with U.S. customs and other overseas regulations and internal procedures.
Key Responsibilities- Prepare and distribute weekly shipment advisories to relevant stakeholders.
- Print and organize shipment documentation; create and maintain corresponding digital/physical folders for each shipment.
- Verify FOB values against commercial invoices, cross-check master carton quantities and individual piece counts against packing lists.
- Reconcile all shipment details to ensure alignment between the internal system, manufacturer-provided documentation, and actual goods received.
- Identify and promptly report any discrepancies (e.g., shortages, overages, or mismatches) to production/manufacturing teams for system updates and resolution.
- Classify shipments using the Harmonized Tariff Schedule (HTS) coding system to support accurate customs declarations.
- Compile and distribute manufacturer invoices to the Import Manager and Accounting department to facilitate timely payment processing.
- Forward complete documentation packages to customs brokers to initiate clearance procedures.
- Prepare and issue weekly vouchers for ocean freight / AIR payments
- Maintain proactive, open communication with customs brokers to ensure smooth coordination between incoming shipments and carriers.
- Perform daily follow-ups to confirm that carrier payments for all containers are current, preventing any delays or demurrage charges.
- Follow up with testing requirements for QVC/HSN and guidelines for packaging and shipments
- Monitor estimated time of arrival (ETA) for shipments and update internal systems and stakeholders accordingly.
- Initiate chargebacks to manufacturers in cases of verified shortages or discrepancies.
- Basic proficiency in Microsoft Office applications, including Outlook, Word, and Excel.
- Prior experience with Sage (ERP system) is preferred.
- Strong attention to detail, organizational skills, and ability to manage multiple tasks in a fast-paced environment.
- Excellent communication skills and ability to collaborate effectively with internal teams, manufacturers, brokers, and carriers.
- Knowledge of import documentation, customs processes, and international shipping preferred.
- Knowledge of Fashion Networks HSN, QVC businesses a plus.
