We are seeking a full-time Leasing Coordinator to join our team on-site at our headquarters in New York, NY. The Leasing Coordinator will be responsible for administering lease renewals and supports tenant relations across the residential portfolio. This role ensures accuate documentation, facilitates move-ins and move-outs, responds to resident inquiries, and collaborates with property management, resident managers, and accounting to address unit, billing, and compliance matters.
ResponsibilitiesLease & Occupancy Administration
- Handles the lifecycle of lease activity—including renewals, extensions, early terminations, surrenders, assignments, sublets, transfers, and household/occupant changes—in alignment with company policy and leadership direction.
- Prepares for execution; leasing documents (renewals, new leases, amendments), ensuring accuracy, timely signatures, and proper record retention.
- Maintains complete and accurate lease data within MRI and related systems, safeguarding data integrity and audit readiness.
- Serves as a point of contact for tenant inquiries, ensuring professional, timely, and solutions-oriented communication.
- Triages and resolves tenant concerns, collaborating with management on escalations to achieve swift, high-quality outcomes that support tenant satisfaction and retention.
- Facilitates move-ins and move-outs arrangements between Tenant and Resident Manager.
- Ensures insurance/compliance requirements and cross-functional follow-through.
- Partners closely with supervisors, property management, resident managers, onsite leasing agents, Sr. Leasing Specialist and accounting to address unit issues, billing questions, and service needs.
- Prepares account adjustments for accounting (credits, charges, transfers, and security deposits) with appropriate documentation and approvals.
- Maintains and distributes to upper management, renewal status spreadsheets for assigned portfolio.
- Updates resident/occupant information in Building Link (or resident portal) to reflect current tenancy and access needs.
- Contributes to special projects and initiatives assigned by leadership, ensuring timely and high-quality deliverables, and at times may provide coverage for the Sr. Leasing Specialist.
- Guarantor updates (Excel-based), capturing:
Active payment statuses of tenants with The Guarantors bond
- Bachelor’s degree preferred; alternatively, Minimum 2 years of relevant experience will be considered.
- Proven experience within real estate industry.
- Knowledge of leases and riders.
- MRI experience preferred.
- Strong organizational skills and attention to detail.
- Excellent interpersonal and customer service skills.
- Excellent time management skills with a proven ability to meet deadlines.
- Strong analytical and problem-solving skills.
- Ability to work collaboratively in a fast-paced environment.
- Proficient with Microsoft Office Suite or related software.
