The Unitarian Universalist Veatch Program at Shelter Rock is a unique organization within the philanthropic sector. While Veatch is a program of a Unitarian Universalist congregation located on Long Island, its philanthropic giving is nationwide and broad in scope. With a staff of 8, the Veatch Program provides long term, core support for community organizing and civic engagement non-profits throughout the United States.

Veatch’s $12 million grant portfolio supports over 180 grantees. The Unitarian Universalist Veatch Program at Shelter Rock provides support for efforts within the religious and spiritual mission of the Unitarian Universalist Congregation at Shelter Rock where their purposes are best served by outside agencies acting under the Veatch Program and the Congregation. As an integral member of the Operations team, the Grants Administrator implements key tasks for effective grantmaking, financial analysis, technical support and communication efforts with grantees and partners.

The Grants Administrator has primary responsibility for grants management activities at Veatch, maintaining records, processing complex documents, completing due diligence review, and compiling regular and special reports. This individual inputs information and processes grants data using Foundant, the current grants management system (GMS), while supporting the ongoing development of grantmaking systems.

Grants administration at Veatch includes correspondence with grantees, maintaining records and filing, maintaining forms to make procedures more efficient, and assisting staff with procedures. This position provides support to the Veatch board in the form of preparing grants meeting agendas, grant write-ups, Board dockets, etc., as well as maintaining accurate minutes, records, and filing systems for planning and tracking Board meetings and Board decisions.

Financial management and analysis is a key part of the role, from preparing payment requests to sending and tracking grants payments. The Grants Administrator provides financial due diligence for incoming grant applications, prepares financial analysis including Financial Health Indicator (FHI) forms for incoming grants, tracks budget expenditure, and prepares grants analysis and allocations charts for board review. The Grants Administrator is also expected to maintain up-to-date balances for mini grant funds and support allocations monitoring.

Veatch is a small and collaborative team, and all staff members participate in periodic team building events. An important aspect of the position is supporting the Program and Operations teams as needed related to site visits and Veatch program events. The Grants Administrator, as part of the Operations team, will assist in seeking and providing innovative tools, technology and systems for effective grantmaking.

Qualifications

Veatch seeks a grants management professional with at least five (5) years of progressive experience in a grant making program, along with a bachelor’s degree or equivalent experience.

A demonstrated ability to work effectively in a distributed/remote environment is of high importance, including proactive communication, the ability to self-motivate and self-organize, and an orientation toward accountability.

Successful candidates will have excellent computer skills, including Microsoft Word, Outlook, PowerPoint and Excel and similar programs; online scheduling; and experience with grants data management programs (experience specifically with Foundant is a plus).

Additional skills and abilities include:

  • Capacity for taking initiative and working both independently and collaboratively.
  • Excellent writing and editing skills (letters, minutes, grants listings, etc.).
  • Accuracy and attention to detail.
  • Reliable and able to work well with grantees, funder colleagues, program officers and other support staff.
  • Excellent time management, managing multiple deadlines and priorities.
