Aboutthe role
The Digital Media Assistant is a crucial position which requires an individual to work well within a team and be prepared for a fast-paced and detail-oriented environment. This individual is expected to show resourcefulness, exhibit accountability, and understand their role well enough to work independently and demonstrate initiative. The Digital Media Assistant is responsible for establishing the daily digital buying activities and works closely with Buyers in preparing, implementing, and stewarding our clients’ digital media schedules.
Whatyou’ll do
- Assist buyers with implementation and maintenance of campaigns for assigned accounts
- Manage assigned digital campaigns in the Spectra OX system:
- Input new campaigns
- Send insertion orders to vendors and verify receipt
- Revise insertion orders when necessary
- Execute jobs in People Soft to reserve trade credits and update all necessary instructions (e.g. job code, request credit check and execute)
- Update contact list with new media representative information on an ongoing basis
- Update clearance list with information from buyers’ negotiations
- Liaison with operations team to ensure invoices are received in a timely fashion each month.
- Troubleshoot discrepancies in billing.
- Assist buyers with RFP process by collecting responses and organizing them in designated area
- Generate media authorization forms for new campaigns for client / agency signature
- This job has no supervisory responsibilities.
- Bachelor's degree or equivalent experience
- Punctual on meeting deadlines, showing up to meetings and work on time
- Makes the best use of available time and resources, and balance quality of work with meeting such deadlines
- Ability to multi-task and prioritize for self and others
- Attention to detail; checks and balances against work to ensure accuracy and completeness (e.g. checking system to ensure media buy was input correctly, checking pacing for ad-served accounts, etc.)
- Self-starter, proactive and demonstrates initiative
- Proficient in Microsoft Outlook, Excel, and Word
- Experience utilizing tools such as Spectra, People Soft, Media Radar, Datorama a plus
- This position does not require regularly scheduled travel.

The salary for this role is $46,000. The successful candidate’s salary will depend on the actual ranges of current employees in the subject position, market considerations, budgetary considerations, geography, as well as the candidate’s skill set, level of experience, and qualifications.
