Responsibilities
- Participates in developing a strategic plan for research at MoMA, planning key departmental initiatives, serving as project manager as needed, and coordinating information and weekly departmental meetings with the Director.
- Works with the Director on annual budget preparation. Manages the Research Programs department budget, including fiscal year budget development and quarterly adjustments, processing payment requests, tracking Navan use and ensuring proper coding, and reconciling regular expense reports, and contributing to the plan for the department's financial sustainability.
- Drafts and oversees the preparation of reports on Research Program activities to funders, the MoMA Board of Trustees and other stakeholders.
- Collaborates with colleagues across the Museum to develop and support innovative programs and events such as Idea Lab, Open Study Sessions, Artist Talks, study days and convenings with tasks including mapping event checklists and planning timelines to better calibrate workflows and program delivery. This might include: overseeing facilities preparations, creating invitations and managing rsvp lists, and organizing staffing, A/V tech support and catering.
- With the Director of Research Programs, plans the agenda and communications for the Task Force on Cataloguing in the 21st Century; and maintains the group’s collective outputs, resources and files.
- Manages the Mellon Research Consortium (MRC), a partnership with five graduate art history programs that includes an advisory board with representatives from each of the partner programs; hosting five fellows, one from each of the programs; and semi-annual gatherings to study and discuss selected works in the Museum’s collection. This includes working with the fellows and their supervisors in the assigned department to ensure appropriate onboarding and effective placements for MRC Fellows, defining and overseeing the selection process, maintaining good communication and relations with the five partner programs, developing and tracking evaluation materials.
- In collaboration with the Director, Research Programs, plans and organizes the semiannual MRC Study Sessions, coordinating writing of session description, identification of guest scholars, recruitment of faculty and graduate student participants for partner programs, development of checklist of recommended collection objects for study, organization of viewing of works during session, and event logistics.
- Collaborating with the Director, Research Programs, plans and organizes the forthcoming Marron Lecture Series.
- In consultation with the Director of Research Programs, and relevant colleagues in the Department of Human Resources, develops and executes the All Fellows program, including a regular series of meetings and conversations with internal and external colleagues.
- Supervises the Departmental Assistant, Department of Research Programs. Participates in recruitment for select open positions and makes hiring recommendations or decisions for staff vacancies; supervises assigned staff on daily basis, providing relevant training, feedback, guidance, professional development, etc.; ensures compliance with and comprehension of Museum policies and relevant collective bargaining agreement, if applicable; conducts annual performance reviews with direct staff; manages the constructive discipline process, as warranted;
etc. - Maintains departmental personnel records, job descriptions and confidential salary information. Advises Director of personnel issues either from direct observation or reports from Research Programs staff, fellows or scholars.
- Disseminates information regarding new policies and procedures to departmental staff, fellows and scholars. With Director, and HR colleagues as relevant, sets departmental policies and policies pertaining to fellows, scholars and departmental staff.
- Processes weekly time sheets and periodic consultant invoices and reimbursements, monitors payroll changes and vacation accrual for accuracy, and responds to related individual employee inquiries.
