Position: Project Manager →
Location: New York

The Project Manager will lead end-to-end planning and execution of experiential campaigns and merchandise programs. This role requires a hybrid mindset—equal parts production, operations, client management, and creative problem-solving. You will ensure projects stay on schedule, on budget, and aligned with the creative vision, while maintaining exceptional communication with internal teams, external partners, and clients.

Responsibilities
  • Manage full project lifecycle for experiential activations, pop-ups, installations, and merchandise initiatives—from kickoff to post-launch wrap-up.
  • Build and maintain detailed project schedules, budgets, production calendars, and status documents.
  • Oversee fabrication, logistics, vendor coordination, sampling, and quality control for experiential builds and merch production.
  • Ensure all deliverables meet Beyond Studios’ quality standards and client expectations.
  • Serve as the primary point of contact for day-to-day client communication.
  • Lead project kickoffs, weekly check-ins, milestone reviews, and approvals.
  • Translate client goals into actionable project plans and ensure alignment across creative, production, and operations teams.
  • Partner with creative directors, designers, producers, and technicians to ensure seamless project execution.
  • Coordinate with suppliers, manufacturers, logistics partners, and on-site staff for merchandise and event delivery.
  • Work closely with leadership to forecast resourcing needs and project pipeline.
  • Build and track project budgets, including material costs, fabrication, labor, shipping, and contingency.
  • Provide accurate cost estimates, reconcile expenses, and support invoicing workflows.
  • Identify efficiencies and propose solutions that maintain creative integrity while managing cost.
  • Conduct post-project evaluations to capture learnings and identify opportunities for future process improvements.
  • Maintain organized project documentation and contribute to internal best practices.
Qualifications

Applicants are expected to have 3–6+ years experience in project management within experiential, events, creative production, branded environments, or merchandise, including:

  • Strong understanding of fabrication processes, production timelines, and supply chain considerations for both experiential builds and apparel/merch programs.
  • Excellent communication, organizational, and multitasking skills.
  • Proven ability to manage multiple projects simultaneously under tight deadlines.
  • Experience working with vendors, fabrication shops, and merchandise manufacturers.
  • Comfort with on-site production environments, including travel and occasional after-hours work during installs or activations.
  • Proficiency in project management tools (Asana, , Notion, etc.) and budgeting in Excel/Sheets.
  • Ability to work collaboratively in a fast-paced, creative, entrepreneurial environment.
Bonus Skills
  • Experience in creative agencies, production studios, or brand experience teams.
  • Familiarity with CAD files, render review, print production, or technical drawings.
  • Background in retail operations, pop-up shops, or product development.
