Overview
NYC-based venture capital firm is looking for a Facilities Lead to join their Workplace Operations team. This is a hybrid role (Monday–Thurs) based in New York. The role oversees day-to-day facilities and workspace operations, vendor management and relationships, office maintenance and repairs, and space readiness and resets. You will work cross-functionally to support buildouts, renovations, and initiatives by providing planning input and serving as a representative for contacts during construction and other projects.
This position is execution-focused, takes ownership, and builds systems that are scalable and efficient. Salary: 160-200K+ DOE plus benefits, carry, 401k, and flexible PTO.
- Act as the primary contact for workplace and facilities operations, overseeing daily upkeep while planning for long-term functionality and improvements.
- Proactively identify, troubleshoot, and resolve infrastructure, maintenance, and safety issues that affect the physical workspace and employee experience.
- Manage relationships with building management and all facilities vendors, ensuring service quality, responsiveness, compliance, and cost effectiveness.
- Oversee vendor performance, scheduling, issue resolution, and contract renewals in coordination with legal and finance partners.
- Maintain a clean, safe, compliant, and welcoming environment in collaboration with IT, security, and internal stakeholders.
- Establish and uphold high operational standards for how the space functions and how it feels to work in.
- Design and maintain structured processes for vendor scoping, scheduling, documentation, and performance evaluation.
- Participate in cross-functional initiatives related to office buildouts, renovations, expansions, and capital projects.
- Provide operational input during planning and design to support maintainability, scalability, safety, and lifecycle cost efficiency.
- Serve as the on-site point of coordination during construction and vendor work, ensuring safety, compliance, and alignment with building requirements.
- Lead operational readiness and turnover activities, including commissioning, punch lists, documentation, warranties, training, and day-one functionality.
- 6-10+ years of experience in Workplace Operations, or Facilities, in a fast-paced environment.
- Systems-oriented and strong process builder who creates simple, durable systems, documents clearly, and tracks performance with practical metrics.
- Ownership mindset with the ability to prioritize critical work, anticipate issues, and follow through without constant direction.
- Effective communicator and problem solver who collaborates well across operations, IT, security, finance, construction, and external partners.
- Calm and reliable under pressure, able to triage issues quickly, resolve root causes, and prevent recurrence.
- Service-oriented professional with strong judgment who maintains a guest-ready environment and anticipates needs before they escalate.
- Demonstrated ability to operate hands-on when needed, including lifting, moving equipment, and supporting light physical tasks.
