Position Overview:
A highly successful, fast-paced organization is seeking an experienced Chief of Staff to oversee and lead a team of personal assistants supporting a senior executive.
This role serves as the operational backbone of executive support, ensuring the senior executive’s personal and professional life runs seamlessly. The ideal candidate brings exceptional judgment, discretion, and communication skills, along with a proactive, solutions-oriented mindset. This position is best suited for a highly organized self-starter who anticipates needs, takes ownership, and leads by example.
As the primary point of coordination for executive support operations, this individual will act as a key source of oversight and accountability for the assistant team, maintaining efficiency, structure, and high performance. A “no task is too small” attitude and a consistently positive, professional demeanor are essential to motivating the team and supporting a demanding executive environment.
Key Responsibilities:- Lead, manage, and mentor a team of personal assistants supporting the senior executive, including onboarding and training new team members.
- Create, assign, and oversee projects and daily workflows for the assistant team.
- Serve as a trusted gatekeeper, exercising sound judgment and absolute discretion when handling highly confidential information.
- Manage complex personal and professional calendars, including scheduling, confirmations, and coordination across multiple stakeholders.
- Coordinate detailed domestic and international travel, including flights, ground transportation, reservations, and itineraries.
- Liaise with household and office staff to ensure cohesive, conflict-free schedules.
- Distribute correspondence and information to appropriate internal team members.
- Oversee executive residences and office spaces, including purchasing, inventory management, and stocking of household and kitchen supplies.
- Support special initiatives and ad-hoc projects requiring in-depth research and independent problem-solving.
- Bachelor’s degree from an accredited institution.
- Minimum of five years of experience providing high-level executive or personal assistant support.
- Demonstrated leadership capability, with strong emotional intelligence.
- Highly resourceful team player who is equally effective when working independently.
- Exceptional organizational, communication, and time-management skills.
- Ability to provide standardized academic test scores as part of the application process.
Salary Range: $120k - $140k
