Description
Reporting to the Coordinator, the Residence Manager is responsible for the day‑to‑day operations of one residential program serving people with developmental disabilities. In conjunction with the Coordinator, the Resident Manager provides leadership, vision, and direction in client services, program development, fiscal management, regulatory compliance, physical plant management, and program staffing.
Primary Responsibilities and Essential Functions of Position Operational Management and Safety- Ensure compliance with all applicable regulations and organizational policies.
- Develop and submit monthly schedules to the Coordinator and DOP, ensuring adequate coverage and publishing bi‑weekly to staff.
- Complete monthly inventory, purchase necessary food and supplies with approved vendors, reconcile orders with deliveries, sign and send invoices to the central office.
- Manage the facility’s petty cash, reconcile bi‑weekly, and ensure proper documentation and utilization of funds.
- Document and report incidents in a timely manner, submitting required notifications and quarterly trends, including SCIP forms.
- Develop an observation schedule per agency standards, publish and upload to SharePoint, and review observations.
- Maintain the facility, complete monthly maintenance checklists, conduct daily inspections, and submit work orders for repairs.
- Develop fire drill schedules, review drills, and ensure appropriate paperwork is processed.
- Implement systems to ensure compliance with state and federal regulations, Heart Share’s policies, and internal and OPWDD surveys.
- Recruit, hire, and train residential staff per regulations and agency guidelines.
- Ensure staff receive necessary certifications/recertifications and track training attendance.
- Conduct staff evaluations and performance reviews per agency policies.
- Manage employee time and attendance, review and approve timecards and vacation requests in Paycom.
- Conduct daily reviews of Precision Care (Pcare) and coordinate with the Services Support Coordinator team to monitor compliance.
- Develop and publish a monthly community inclusion calendar and review inclusion logs weekly.
- Ensure medical and clinical meetings occur per agency expectations and record meeting notes and follow‑ups.
- Participate in and follow up on recommendations from Day Program and Life Plan Meetings.
- Daily check for incidents, review accuracy, and complete required follow‑up.
- Monthly ensure all necessary documentation for incident close‑out is completed.
- Submit items to SRC to address investigator and SRC recommendations.
- Submit SCIP forms, trends, and other required documents.
- Attend SRC meetings as needed to address specific concerns.
- High School Diploma/GED;
Bachelor’s degree preferred. - Minimum two years supervisory experience in a residential program.
- Five years’ experience in developmental disabilities or related field.
- Work varied shifts, including at least one weekend day per workweek.
